Summary: Responsible for professionally interacting with customers, as well as the execution of administrative, organizational, and marketing tasks by performing the following duties.
Duties and Responsibilities include the following. Other duties may be assigned.
- Answers telephones, takes accurate messages, and screens and directs telephone calls for management.
- Greet customers and incoming visitors, promptly notifies appropriate person of their arrival.
- Maintains an organized office calendar and schedules meetings and appointments as needed.
- Provides administrative support for special projects to include research, compiling data, and preparation of summary reports based on results.
- Maintains files in an organized and accessible manner to include updating information, purging files on a regular basis, and creating new filing systems as needed.
- Types correspondence and various documentation in proper format and proofreads/distributes as assigned.
- Responsible for reviewing and answering emails and correspondence.
- Performs outbound follow up calls following trial classes to encourage registration with the gym.
- Maintains and updates social media sites to increase marketing efforts and increase membership.
- Responsible for handling cash, checks, credit card and other payments for the gym.
- Performs cleaning duties as needed.
- Performs other related duties as assigned
Minimum Qualifications (Knowledge, Skills, and Abilities)
- High school diploma or general education degree (GED); and one to two years related experience and/or training; or equivalent combination of education and experience.
- One year or more experience in an office setting performing administrative functions.
- Previous experience working in a gymnastics or youth sports environment helpful not required.
- Working knowledge of Google Docs, Google Sheets and Gmail; Microsoft Excel, Word, PowerPoint, and Outlook.
- Knowledge of iClassPro or other registration software helpful.
- Demonstrate interpersonal skills and proficiency in business vocabulary to effectively represent the gym and the company to outside parties
- Ability to calculate figures using math to calculate change, discounts, interest, proportions, and percentages.
- Familiarity with social media including Facebook, Instagram, Google, and Yelp
- Familiarity with how to customize and update a website
- Excellent interpersonal, oral, and written communication skills
- Excellent writing, proofreading, and editing skills
- Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.
