Responsibilities
- Greet visitors and clients promptly and professionally, ensuring a positive first impression
- Manage multi-line phone systems, directing calls appropriately and taking detailed messages
- Schedule appointments and manage calendars using Microsoft Office and Google Workspace tools
- Perform data entry, filing, and maintain accurate records for administrative purposes
- Handle correspondence via email, phone, and in-person interactions with excellent phone etiquette
- Assist with office management tasks such as proofreading documents, organizing files, and supporting daily operations
- Support bookkeeping activities including basic QuickBooks entries and invoice processing
- Provide customer support by addressing inquiries efficiently and courteously
- Maintain a clean and organized reception area to promote a welcoming environment
- Perform clerical duties such as typing, proofreading, and managing office supplies
Experience
- Prior office experience or administrative experience is preferred
- Familiarity with front desk operations, multi-line phone systems, and office management software (Microsoft Office, Google Workspace) is essential
- Bilingual skills are highly desirable to serve diverse clientele effectively
- Experience with medical or dental receptionist duties, including calendar management and patient data entry, is a plus
- Personal assistant or customer service experience will be considered an asset
- Strong organizational skills, time management abilities, and attention to detail are required for success in this role
