Job Overview
We are seeking a motivated and organized Office Assistant who will also perform light Payroll Assistant duties to join our dynamic team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by providing administrative support and managing tasks for all departments including but not limited to Human Resources, Staffing Department, Payroll Department, Billing Department and New Patient Intake Department. This person will work closely with our CEO for daily work activities and fill in for another who may be out for the work day or work days to come.
This position requires strong computer literacy, strong organizational skills, excellent phone etiquette, an employee open to professional criticism and continuous training, and the ability to multitask effectively in a occasionally fast-paced environment.

Responsibilities
- Greet visitors and manage front desk operations, ensuring a welcoming environment.
- Answer phone calls professionally and direct inquiries to the appropriate personnel.
- Perform data entry tasks accurately and efficiently, maintaining up-to-date records.
- Assist with office management duties, including organizing files and managing supplies.
- Support CEO/CFO tasks such as scheduling appointments and coordinating meetings.
- Collaborate with team members to ensure efficient workflow and communication.
- Handle correspondence, including emails and mail distribution and occassionally making post-office runs (Mileage will be compensated).
- Call each new client to complete a patient questionnaire and set a desired schedule.
- Correspond with our local RN in reference to setting up assessments.
- Provide assistance as needed in various office functions, including human resources, payroll, billing, staffing and new patient intake departments.
Qualifications
- Proficient in computer literacy with experience in office software applications.
- Strong phone etiquette and communication skills, both verbal and written.
- Previous experience in office management or administrative roles is preferred.
- Familiarity with phone systems and front desk operations is a plus.
- Bilingual skills are highly desirable to assist diverse clientele.
- Detail-oriented with strong organizational skills to manage multiple tasks effectively.
- Ability to work independently as well as part of a team in a collaborative environment.
- Open to professional criticism and continuous training.
- RELIABLE TRANSPORTATION and the ability to get to work on time, Monday- Friday.
