Job Overview

Southern Holiday Homes is a fast growing vacation rental management company serving Florida’s 30A communities. We are founder led, hospitality driven, and expanding quickly. We are seeking a highly organized and proactive Executive Assistant to support the CEO and help keep day to day operations running smoothly from our Knoxville office.

This role is fully in person and ideal for someone who thrives in a fast paced environment, communicates clearly, and can anticipate needs before they arise. You will manage schedules, coordinate projects, organize information, and handle sensitive matters with complete confidentiality.

Key Responsibilities

Executive Support & Communication

  • Manage the CEO’s calendar, meetings, travel arrangements, and daily priorities
  • Prepare and edit correspondence, documents, reports, and presentations with a high level of detail
  • Draft summaries, follow up notes, and communication as needed
  • Handle confidential information and internal documents with discretion
  • Take incoming phone calls and inquiries and route or respond appropriately

Project Coordination

  • Coordinate projects across departments to ensure deadlines are met
  • Assist with planning and logistics for meetings, interviews, events, and owner calls
  • Maintain organized digital and physical filing systems

Personal Assistance

  • Help manage personal scheduling and appointments that impact the CEO’s workday
  • Coordinate personal errands, documentation needs, and other tasks as assigned
  • Manage DocuSign, forms, and time sensitive documents
  • Maintain confidentiality and professionalism across all personal and business related responsibilities

Experience & Skills

  • Proven experience supporting a senior leader, founder, or C level executive
  • Hospitality, real estate, or small business/startup experience
  • Strong administrative, communication, and organizational abilities
  • Proficiency in Microsoft Office Suite, Google Workspace, Outlook calendaring, QuickBooks, and DocuSign
  • Experience with project coordination, event planning, office operations, filing systems, and customer service
  • Excellent written and verbal communication skills with strong attention to detail
  • Ability to multitask and adapt in a fast paced environment
  • High level of confidentiality, reliability, and follow through

Pay: $55,000.00 - $65,000.00 per year
