Responsibilities
- Oversee daily office operations, including front desk duties, managing multi-line phone systems, and greeting visitors with professionalism and warmth
- Coordinate schedule management for staff and executive calendars, ensuring appointments, meetings, and events run seamlessly
- Assist with event planning and logistics for company functions, meetings, and training sessions to promote team engagement
- Manage vendor relationships by processing invoices, tracking payments, and maintaining accurate records using QuickBooks or similar accounting software
- Support human resources functions such as onboarding new employees, maintaining personnel files, and assisting with payroll processing
- Handle bookkeeping tasks including filing documents, reconciling accounts, billing, and maintaining organized financial records
- Supervise clerical staff when applicable, providing training and development opportunities to enhance team performance
Experience
- Proven administrative experience in an office setting or medical office management environment
- Demonstrated supervisory experience leading teams or managing projects effectively
- Proficiency with QuickBooks or comparable bookkeeping/accounting software
- Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
- Excellent communication skills—both verbal and written—with professional phone etiquette
- Experience in event planning, vendor management, and calendar management is highly desirable
- Familiarity with human resources processes such as payroll administration and employee onboarding is a plus
