Facility Administrator

Position Summary

The Nursing Home Administrator is responsible for the overall leadership, management, and daily operations of the facility to ensure quality resident care, regulatory compliance, financial stability, and efficient operations. The Administrator promotes a positive environment for residents, families, employees, and visitors while ensuring the facility operates in accordance with federal, state, and local regulations.

Essential Duties and Responsibilities

Facility Operations and Leadership

  • Direct, oversee, and evaluate all facility programs, services, and operations.
  • Develop, implement, and maintain policies, procedures, and operational standards to ensure regulatory compliance and quality care.
  • Foster effective communication and teamwork among departments to support efficient operations and resident-centered care.
  • Conduct routine inspections and monitor facility performance to ensure compliance with established policies, procedures, and safety standards.
  • Serve as the facility representative in meetings with governing boards, regulatory agencies, third-party payers, community organizations, and other external partners.
  • Prepare and present written and verbal reports regarding facility operations, compliance, and performance.
  • Maintain positive relationships with residents, families, staff, medical professionals, and community partners.
  • Ensure public information and marketing materials accurately reflect facility services and programs.
  • Develop and implement plans of correction for survey deficiencies and monitor follow-through.
  • Designate appropriate leadership coverage during absences.

Personnel Management

  • Assist with the recruitment, hiring, orientation, supervision, evaluation, discipline, and termination of staff.
  • Ensure adequate staffing levels and appropriate staff qualifications to meet resident care needs.
  • Support department directors in resolving operational issues and improving departmental performance.
  • Promote fair and consistent application of personnel policies and procedures.
  • Delegate authority and responsibilities appropriately to supervisory staff.
  • Maintain collaborative relationships with medical staff, consultants, and healthcare organizations.
  • Ensure employee records and hiring documentation comply with applicable regulations.
  • Participate in and lead departmental and leadership meetings as necessary.

Staff Development and Training

  • Support the development and coordination of orientation programs, in-service training, and continuing education.
  • Conduct or participate in supervisory and leadership training programs.
  • Maintain current knowledge of long-term care regulations, best practices, and industry trends through continuing education and professional development.

Resident Care and Rights

  • Promote and protect residents’ rights, dignity, privacy, confidentiality, and independence.
  • Address resident and family concerns, complaints, and grievances promptly and appropriately.
  • Support the development and operation of Resident Council and Family Council programs.
  • Promote a positive, respectful, and compassionate environment throughout the facility.

Safety, Compliance, and Risk Management

  • Ensure compliance with all applicable federal, state, and local regulations related to healthcare operations, infection control, safety, and sanitation.
  • Support infection prevention and control initiatives and ensure proper identification of job-related risk categories.
  • Maintain the facility, grounds, equipment, and environment in a safe, clean, and functional condition.
  • Review accident and incident reports and implement corrective or preventive actions as needed.
  • Ensure fire safety, emergency preparedness, and workplace safety procedures are followed by staff, residents, and visitors.

Financial and Resource Management

  • Assist in preparing and managing the facility operating budget.
  • Review financial statements, operating costs, and census trends to support fiscal stability.
  • Ensure accurate financial reporting and timely submission of required cost reports and documentation.
  • Authorize purchasing of equipment and supplies in accordance with facility policies.
  • Ensure adequate equipment and supplies are available to meet operational and resident care needs.

Working Conditions

  • Works in office and healthcare environments throughout the facility.
  • Frequently interacts with residents, family members, staff, physicians, vendors, government representatives, and visitors.
  • May be required to work beyond normal business hours, including evenings, weekends, holidays, and during emergencies.
  • Must be able to sit, stand, walk, bend, and move throughout the facility as needed.
  • May encounter stressful or emotionally charged situations requiring professionalism and sound judgment.

Qualifications

  • Current Nursing Home Administrator license as required by state regulations.
  • Knowledge of long-term care regulations, reimbursement systems, and healthcare operations.
  • Strong leadership, organizational, communication, and problem-solving skills.
  • Ability to effectively manage staff, budgets, compliance, and resident care operations.
  • Commitment to providing quality care and maintaining a resident-centered environment.
