JOB SUMMARY  

 

The position assists with all compliance projects for the University, including state authorization, accreditation, and governmental reporting.

 

 

ORGANIZATIONAL RELATIONSHIPS 

 

Reports to: Dean of Academic Operations & Registrar

 

Supervisory Responsibility: N/A  

Indirect Supervisory Responsibility: N/A

 

 

ESSENTIAL DUTIES - May include, but is not limited to the following: 

 

  • Research & Planning
    • Researches state and federal regulations related to authorization and general compliance.
    • Remains current on trends, recent decisions, and noteworthy news related to authorization. 
    • Develops and maintains a comprehensive list of each state and federal regulations related to educational programs—distance or physical presence. 
    • Maintains and tracks all state-related costs. 
    • Recommends short-term and long-term priorities for the office based on extension site and online learning growth expectations or realities as well as government regulations. 
    • In collaboration with the Compliance Director, develop a comprehensive plan, which includes anticipated timelines and expectations for the various compliance projects. 

 

  • Project Management 
    • Ensures the incremental aspects of each project are completed.
    • Tracks project milestones and tasks.

 

  • Initial Applications Projects
    • Coordinates the collection of documentation and preparation of narrative for initial authorization applications. 
    • Prints or electronically aggregates all application materials. 
    • Ensures said materials are mailed or electronically delivered according to the project expectations.

 

  • Reauthorization Projects
    • Tracks when reauthorization applications are mandated by individual states. 
    • Coordinates the collection of documentation and preparation of narrative for reauthorization applications. 
    • Prints or electronically aggregates all reauthorization materials. 
    • Ensures said materials are mailed or electronically delivered according to the project expectations.

 

  • State Authorization Travel – With experience, may attend required site visits, training sessions, and meetings for state authorization purposes.
     
  • Accreditation Projects – Assists with critical accreditation reports for the University, including program prospectuses, substantive change reports, notification letters, and reaffirmation of accreditation submissions.
     
  • Government Reporting – As needed, assists with the submission of data or information to state or federal agencies to ensure compliance with regulations or general information requests.
     
  • Special Projects – Supports the Senior Director with special projects or initiatives.

Errands to/from the main campus

 

All remaining duties are considered "nonessential" within the context of the ADA, which means that the function could be reassigned to another employee in order to allow a disabled individual to hold the position.  Alternatively, the manager could try to provide a reasonable accommodation so that the disabled individual could perform the function.

Bachelor's in Business, Government Affairs, Higher Education

EXPERIENCE 

 

Required:

 

A minimum of one (1) year in Business, Government Affairs/Higher Education

 

Preferred:

 

A minimum of three (3) years in Business, Government Affairs/Higher Education 

  

 

KNOWLEDGE, SKILLS, AND ABILITIES

 

Required:

 

  • Knowledge of or ability to interpret state regulations related to educational programs and authorization.
  • Knowledge of web based applications and technologies.
  • Ability to work on multiple, complex projects; strong project management skills including the ability to motivate and move projects to a timely completion; strong ability to multi-task and continually prioritize changing project tasks and deliverables.
  • Excellent interpersonal and presentation skills, especially written and oral communications; Ability to write technical narratives for government or accreditation reports
  • Strong analytical skills as such relate to problem-solving and absorbing new information.
     

 

 Preferred:

 

  • Knowledge of State Regulations – Knowledge of or ability to interpret state regulations related to educational programs and authorization.
  • Technology – Knowledge of ASANA, Jenzabar, applications in the Microsoft Office Suite, and other web based applications and technologies.
  • Project Management – Ability to work on multiple, complex projects; strong project management skills including the ability to motivate and move projects to a timely completion; strong ability to multi-task and continually prioritize changing project tasks and deliverables.
  • Communication – Excellent interpersonal and presentation skills, especially written and oral communications; Ability to write technical narratives for government or accreditation reports
  • Critical Thinking – Strong analytical skills as such relate to problem-solving and absorbing new information.
     



 

WORK ENVIRONMENT

Physical Requirements: 

 

  • Office Environment: Ability to work primarily in an office setting, which involves sitting for extended periods.
  • Computer Use: Proficiency in using computers for various tasks, which requires hand-eye coordination and manual dexterity for typing and handling office equipment.
  • Communication: Strong verbal communication skills for meetings, presentations, and interactions with staff, students, and parents.
  • Mobility: Capability to move around the office and campus as needed for meetings and events.
  • Standing: Ability to stand and walk for extended periods of time for meetings and events.
  • Lifting: Occasionally lift and carry items such as files, documents, or small office equipment weighing up to 20 pounds.
  • Visual Requirements: Ability to read and interpret data on computer screens and printed documents.
  • Hearing and Speaking: Adequate hearing to participate in conversations and phone calls, and clear speaking ability for effective communication.

Monday - Friday, 8:00 am - 4:30 pm 



 

TRAINING

 

All new hires and employees transferring into a new position will have a 90-day probationary period within which to learn the functions of the job and to be evaluated. Following the probationary period, the employee can transition to regular status, have the probationary period extended in order to receive more training, or employment can be terminated. Required compliance training is as follows:

  • Emergency Employees report for or must remain at work in emergency situations.  Dismissal or closure announcements do not apply to this position, unless instructed otherwise by your direct supervisor or a member of the Leadership Team.  



 

SCREENING

 

All full-time positions at SEU are deemed security-sensitive and require background checks. Employees required to drive their own personal vehicle, a rental car or an SEU vehicle in performance of their duties must pass an MVR records check and meet the requirements of the University’s insurance carrier in order to meet the requirements of the position.
