Summary

The Technical Services Assistant supports the preparation, processing, and maintenance of library materials to ensure their timely availability to the public. This role is responsible for receiving and organizing materials, performing accurate physical processing, updating item records, and assisting with various departmental tasks. The position requires attention to detail, familiarity with bibliographic records, and a collaborative mindset. The Technical Services Assistant works closely with the Technical Services Librarian to maintain workflow efficiency and may provide support during staff absences or assist with vehicle and supply coordination as needed.

 

Essential Functions

  • Receive incoming library materials; verify contents against packing slips or invoices, and report discrepancies.
  • Physically process materials for public use, including labeling, casing, and updating item records in the integrated library system (ILS).
  • Interpret MARC records for appropriate labeling and shelf location; make minor corrections when needed.
  • Associate physical items with existing bibliographic records and assign proper location codes.
  • Evaluate damaged items and recommend repair, replacement, or removal from the collection.
  • Update labeling and replace media cases as required.
  • Track materials through various processing stages using internal reporting tools (e.g., cart signs).
  • Mark withdrawn or unavailable materials in the catalog.
  • Assist with counting, organizing, and packing materials for shipment to system libraries.
  • Arrange materials on carts to facilitate cataloging and processing.
  • Support Technical Services projects assigned by the Technical Services Librarian.
  • Temporarily cover other duties during staff absences (e.g., delivery routes or interlibrary loan tasks).
  • Schedule vehicle maintenance and transport vehicles as needed; communicate with the Business Office for approvals.
  • Assist with ordering departmental supplies and may assist with library materials ordering during extended staff absences.
  • Perform other duties as assigned.

Knowledge, Skills, and Abilities

  • Understanding of library workflows, item records, and basic cataloging principles.
  • Ability to read and interpret MARC records and bibliographic information.
  • Strong attention to detail and organizational skills.
  • Proficiency with library software systems, Microsoft Office, and database programs.
  • Effective verbal and written communication skills.
  • Ability to work independently and collaboratively in a fast-paced, team-oriented environment.
  • Willingness to adapt to changing procedures and support other staff roles as needed.
Qualifications:

Requirements and Qualifications

  • Education:
    One-year certificate from a college or technical school, or three to six months related experience/training; or equivalent combination of education and experience.
  • Experience:
    Prior experience in a library or materials-handling environment preferred.
  • Certifications:
    Willingness to attend necessary SEOLS trainings.

 

Work Environment and Physical Demands

  • Physical requirements include standing, walking, bending, lifting up to 25 lbs frequently and up to 50 lbs occasionally.
  • May involve restocking supplies, cleaning, and moving library materials or equipment.
  • Must be available to travel locally for meetings, trainings, and outreach activities.
