Pay Range:$33.41 - $46.88 The SUD Office Manager supervises daily operations of the Behavioral Health Clinic or program, overseeing clinicians, case managers, outpatient SUD staff, psychiatric providers, nurses, and administrative personnel. This role supports staff development in line with SEARHC’s Mission, Vision, and Values, collaborates across departments to achieve strategic goals and improve patient care, manages data reporting, and works with leadership on budgets, division objectives, and regulatory compliance.

Essential Duties

  • Direct staff in planning, development, and implementation of daily clinic operations.
  • Enforce administrative policies and procedures.
  • Ensure staff are scheduled efficiently to optimize performance of assigned duties.
  • Oversee scheduling activities to maximize appointment availability and improve access to care.
  • Provide support to staff by addressing questions and facilitating resolutions.
  • Assist local staff in reducing or eliminating barriers that affect workflow.
  • Offer backup support for registration and scheduling as required.
  • Identify staff development needs and coordinate training in collaboration with the SUD Program Manager and Operations Director.
  • Address patient and customer concerns, incorporating feedback into protocol and procedure improvements.
  • Communicate SEARHC strategic plans to staff and champion initiatives to achieve organizational objectives.
  • Engage staff with updates on departmental, divisional, and organizational developments.
  • Encourage staff participation in generating ideas and solutions to foster team cohesion, accountability, and alignment with SEARHC’s Mission, Vision, and Values.
  • Utilize continuous quality improvement methods to resolve operational issues and ensure regulatory and accreditation compliance.
  • Optimize personnel and financial resources to deliver efficient healthcare services within budget constraints.
  • Maintain proficiency with clinical electronic health record and practice management systems.
  • Participate in accreditation surveys and remain knowledgeable of performance requirements.
  • Actively participate in or lead departmental meetings.
  • Collaborate with other SEARHC departments to ensure effective operations, patient flow, and regulatory adherence.
  • Maintain positive relationships with community partners and stakeholders.
  • Supervisory responsibilities are integral to this position.
  • Travel is limited to less than 10%.
  • Perform additional duties as assigned to support Behavioral Health Division success.

Education/Experience

Additional Details:

  • High school diploma or GED equivalent required.
  • An associate's degree in a health-related or business field, or two years of relevant experience in a health field, may substitute for an associate's degree.
  • Bachelor's degree is preferred.
  • Healthcare leadership training or certification is desirable.
  • Minimum three years of healthcare-related experience with demonstrated growth in supervisory and management responsibilities, as well as three years of customer service experience.

Knowledge, Skills, And Abilities

  • Demonstrates exceptional customer service abilities
  • Possesses foundational knowledge of clinic practice management, including staffing, organizational structure, scheduling, and patient flow
  • Understands revenue cycle processes, facilities management, and relevant infrastructure affecting clinic operations
  • Knowledge of CARF, CMS, and other accreditation requirements
  • Adheres to privacy regulations regarding client confidentiality and health information laws and practices.
  • Ability to apply principles of liability and risk management effectively
  • Exhibits strong administrative, supervisory, and organizational capabilities
  • Communicates proficiently in both oral and written formats
  • Displays excellent interpersonal skills
  • Shows cultural awareness and sensitivity
  • Efficient time management skills
  • Mediates and resolves conflicts professionally
