Job Summary
The role
The Project Coordinator carries the day-to-day operational backbone of a job — submittals, procurement tracking, vendor follow-up, documentation, and internal coordination — so Project Managers can stay on site judgment, technical decisions, and customers. If you're the person who notices the thing nobody else caught and chases it until it's done, this is your role.
It's also a launchpad. Coordinators here grow into Project Managers, and the path runs through real work: as you build the reps, you'll take qualifying small-scope jobs and run them start to finish under a Project Manager's guidance. Learning the job by doing the job, at a scale where you can find your footing.

Submittals
Prepare and organize submittal packages for bleachers, equipment, curtains, casework, and furniture; route them on schedule and track them through review, revisions, and approval.
Shop drawings
Request, receive, and log shop drawings from manufacturers; circulate them for review and track revisions through approved-for-fabrication.
Material & procurement tracking
Track lead times, delivery dates, and order status from suppliers (Hussey, Draper, and others) so crews aren't waiting on product. Process purchase orders and file order acknowledgments.
Vendor & supplier follow-up
Stay in regular contact with suppliers and installers on order status, product questions, and delivery logistics.
Field check documentation
Turn raw field notes into the vendor-ready document for the Project Manager's review.
Job documentation during install
Keep install progress documented — collect and organize the photos and notes coming in from the field so every job file tells the whole story.
Punch list & closeout
Track punch items to completion; assemble warranties, O&M manuals, as-builts, and closeout documentation; chase the missing pieces until the package is complete.
Document management
Own the job record across our systems — contracts, submittals, correspondence, and job files kept current, findable, and audit-ready. Anyone should be able to see where a job stands without asking.
Internal coordination
Sync deliverables between install crews, suppliers, and the Project Manager so nothing slips between the cracks.
Meeting support
Prep materials for the daily coordination huddle and the monthly project meeting; track open items to closure.
Correspondence
Draft routine job emails and letters for review before they go out.
Small-job ownership (as you grow)
Run qualifying small-scope jobs start to finish — submittals, scheduling, site coordination, and closeout — with a Project Manager supervising and owning decisions on scope, price, and customer commitments.
What we're looking for
- 1–2 years in a construction or installation administrative/coordination role
- Comfortable with detailed tracking — submittals, deliveries, punch items, files
- Strong follow-up and organizational habits; you close loops without being reminded
- Basic familiarity with construction submittal and closeout processes
- Solid with Microsoft 365 — Outlook, Excel, and SharePoint or similar document systems
- Valid driver's license; occasional as-needed travel to job sites, including the rare overnight
- Experience with K–12 school or athletic facility construction a plus

Pay: $50,000.00 - $60,000.00 per year
