What are the responsibilities and job description for the Accounts Receivable Specialist position at Sonicu?
We're hiring a second Accounts Receivable Specialist to support our growing customer base. You'll take ownership of billing and accounts receivable alongside our existing AR Specialist — sharing the full cycle of invoicing, cash application, collections, and customer billing support, with both of you cross-trained for full coverage across every process.
You'll report directly to our Controller and collaborate closely with Sales and Customer Success Managers on customer billing questions, renewals, and account changes. This is a great fit for someone who takes pride in getting the details right, enjoys solving puzzles in customer accounts, and is interested in building a long-term career in finance with room to grow.
What you'll do
• Generate and send customer invoices through Odoo, our accounting system, for new subscriptions, renewals, add-ons, and one-time charges
• Apply incoming payments across multiple channels — credit card (Stripe), PayPal, ACH, wire, and check — to customer accounts and ensure cash is posted accurately
• Upload and manage invoices through customer-required third-party portals such as Coupa, PaymentWorks, Vendorcafe and others
• Partner closely with our other AR Specialist to share ownership of the AR cycle and provide full coverage across invoicing, cash application, and collections
• Monitor the AR aging report and proactively follow up with customers on past-due balances by email and phone
• Coordinate with Sales and Customer Success Managers on renewals, account changes, and customer billing questions to ensure a smooth customer experience
• Research and resolve billing discrepancies, short payments, and disputes — partnering with Sales and Customer Success Managers when needed
• Process credit memos, refunds, and billing adjustments in line with company policy
• Maintain accurate customer billing records in Odoo, including contract terms, billing contacts, and payment methods; request and manage sales tax exemption certificates from customers as needed
• Prepare regular AR reports for the Controller & leadership
• Support annual audit requests related to AR
• Identify opportunities to improve billing processes and help document standard operating procedures alongside your AR partner
What you bring
• High attention to detail and a natural instinct to double-check your work
• Strong written and verbal communication skills — you can be professional and friendly with customers, even in collections conversations
• Experience in accounts receivable, billing, collections, customer service, or a related role
• Comfort with numbers and a working knowledge of Microsoft Excel (sorting, filtering, basic formulas)
• Familiarity with any accounting or ERP system is a plus — we use Odoo and will train you on it
• Ability to manage a queue of open items, prioritize, and hit deadlines with minimal guidance
• Collaborative mindset — you'll be partnering daily with another AR Specialist and working cross-functionally with Sales and Customer Success Managers
Nice to have (not required)
• Prior experience in a SaaS, subscription, or technology company
• Experience processing payments through Stripe, PayPal, or similar platforms
• Experience uploading invoices to customer AP portals such as PaymentWorks, Coupa, Vendorcafe, and others
• Understanding of basic accounting concepts
