The Personal Assistant (PA) provides high-level administrative and organizational support to the Vice President of a medical manufacturing company. This role requires exceptional discretion, attention to detail, and the ability to manage complex schedules and priorities in a fast-paced, regulated environment.

Key Responsibilities:
- Manage the VP’s calendar, meetings, and travel arrangements
- Prepare agendas, reports, presentations, and correspondence
- Screen calls, emails, and requests, prioritizing urgent matters
- Act as a liaison between the VP and internal teams, clients, and external partners
- Coordinate cross-functional meetings (e.g., production, quality, regulatory teams)
- Follow up on action items and ensure deadlines are met
- Maintain confidential files and records
- Handle expense reports, invoices, and budgeting support
- Organize events, site visits, and executive meetings
- Assist with documentation related to regulatory compliance (e.g., FDA, ISO standards)
- Support preparation for audits and inspections
- Prepare status reports and dashboards
- Assist in process improvements and workflow organization
- Bachelor’s degree in Business Administration or related field (preferred)
- 3–5 years of experience supporting senior executives (experience in healthcare or manufacturing is a plus)
- Strong organizational and multitasking skills
- Excellent written and verbal communication
- Proficiency in Microsoft Office (Excel, PowerPoint, Outlook)
- Ability to handle sensitive information with discretion
