Key Responsibilities
- Process high-volume accounts payable transactions, including fuel supplier invoices, freight, terminal, and rack invoices
- Match invoices to contracts, purchase orders, bills of lading, and terminal statements
- Review and verify pricing, volumes, taxes (federal, state, local fuel taxes), and fees for accuracy
- Reconcile supplier statements and resolve invoice discrepancies promptly
- Prepare and process weekly and monthly payment runs (ACH, wire, checks)
- Maintain accurate vendor records and ensure compliance with internal controls
- Assist with month-end close, including accruals and AP aging reports
- Support audits by providing documentation and responding to inquiries
- Collaborate with operations, supply, and logistics teams to resolve billing issues
- Ensure compliance with company policies and regulatory requirements
- Associate’s or Bachelor’s degree in Accounting, Finance, or related field (preferred)
- 2 years of accounts payable experience; fuel, energy, or transportation industry experience strongly preferred
- Familiarity with fuel invoicing, terminal statements, rack pricing, and fuel taxes is a plus
- Proficiency in accounting software (e.g., SAP, Oracle, Microsoft Dynamics, NetSuite, or industry-specific fuel systems)
- Strong Excel skills (pivot tables, VLOOKUP/XLOOKUP preferred)
- High attention to detail and strong organizational skills
- Strong analytical and problem-solving skills
- Ability to work with large data sets and tight deadlines
- Excellent communication and vendor management skills
- Ability to prioritize and manage multiple tasks in a fast-paced environment
- Team-oriented with a high level of integrity and confidentiality
