What are the responsibilities and job description for the Dental Front Desk Receptionist position at Songbird Pediatric Dentistry?
Songbird Pediatric Dentistry is a new, music-inspired pediatric dental practice opening this summer in Chicago's Bucktown neighborhood. Founded by Dr. Erin Petrik, a pediatric dentist with a decade of experience, Songbird is just getting started — and we're looking for the right person to help us find our rhythm.
Expect the energy of a startup: things will evolve as we grow, your input will genuinely shape how the front office runs, and there's real room to take on more responsibility as the practice expands. If you thrive on variety, like solving problems on the fly, and want to grow alongside a practice from day one, this is for you.
We're looking for an experienced, detail-oriented Front Desk Coordinator to be the first warm welcome every family receives — in person and on the phone. You'll keep our front office in harmony, handling everything from scheduling to insurance to patient records, while working closely with Dr. Petrik to make sure every visit hits the right note.
What you'll be doing
- Greeting every patient and family with warmth, putting them at ease from the moment they walk in
- Building and managing the schedule using dental practice management software
- Verifying insurance coverage and benefits
- Patient check-in and check-out, including keeping patient charts current and accurate
- Answering a multi-line phone system with patience, clarity, and genuine care
- Supporting insurance claims — medical billing, CPT and ICD-10/ICD-9 coding, and Medicare documentation
- Maintaining HIPAA-compliant patient records and documentation
- Pitching in on filing, records management, and data entry (10-key skills a plus)
- Partnering with Dr. Petrik and clinical staff to keep care plans documented and communicated clearly
- Following up on outstanding balances and supporting collections
What you bring
- At least a year of front desk experience in a dental or medical office
- Hands-on experience with dental practice management software
- Working knowledge of dental and medical terminology, ICD-10/ICD-9 and CPT coding, and insurance verification
- Solid computer skills, including Microsoft Word and Excel
- A genuine love of working with kids and families, paired with excellent phone manner
- Comfort with ambiguity and a "let's figure it out together" mindset — this is a new practice, and no two days will look alike at first
- Strong organizational instincts and attention to detail, even when things get busy
If you want to be part of building something from the ground up — a practice where your voice matters and your role will grow as we do — we'd love to hear from you.
