Job Title: Senior Business Process & AI Enablement Consultant

Location : Waltham, MA(Hybrid- 2 Days Work From Office)

Duration Contract(6 Months)


Job Description:


We are seeking a senior, AI-aware business process and platform operations consultant. This person will support a new agentic AI-based search platform by connecting business stakeholders, product, platform, engineering and vendor teams. The role blends business analysis, project operations, agile coordination, Jira/Confluence administration, knowledge management, training content and practical use of enterprise AI tools.


  • Our client is building a new agentic AI-based search platform supporting R&D search, external innovation, knowledge discovery, market intelligence and related business-development workflows.
  • The environment has three connected workstreams: platform, product and engineering/development.
  • The engineering team is responsible for building the platform.
  • The immediate gap is in business process definition, requirements, roadmap support, coordination, documentation, knowledge management, training and AI-enabled ways of working.
  • The team is operating in a startup-style manner. Processes and priorities may change as users test the platform and the team learns what works.
  • The consultant must introduce practical structure without slowing down the team through unnecessary process.

Must Have Skills:


Seniority and experience

• Senior Manager-level maturity or a strong senior individual contributor profile.

• Likely 5 years of highly relevant experience, though years alone should not determine fit.

• Able to lead work independently and represent it in front of VPs, Senior Directors and functional leaders.

• Comfortable moving between strategic discussions and detailed operational execution.

Core functional requirements

• Business process mapping, including current-state, future-state and gap analysis.

• Business and functional requirements gathering and documentation.

• Project or program coordination with ownership of weekly status reporting.

• Agile delivery support, backlog management and release/sprint coordination.

• Hands-on Jira and Confluence administration.

• Risk, issue, action, timeline and dependency tracking.

• Training materials, user guides, playbooks or process manuals.

• Knowledge management and platform documentation.

• Cross-functional stakeholder and vendor coordination.

Behavioral requirements

• Acts with urgency and follows through without repeated prompting.

• Comfortable with ambiguity, changing priorities and incomplete processes.

• Structured and organized without becoming rigid or bureaucratic.

• Challenges unclear requests and proposes better approaches.

• Brings ideas; does not operate as an order taker.

• Manages multiple workstreams without losing detail.

• Works effectively in a startup-style environment inside a large enterprise.

• Uses good judgment and can move work forward without constant supervision.


Must Have:


Strongly preferred domain background

  • Biopharma, biotechnology, life sciences, pharmaceutical R&D or healthcare technology.
  • Another regulated industry may be considered if the candidate has the right platform, process and AI experience.
  • The person should understand the context of scientific, R&D, external innovation or senior business stakeholders.

AI and technology expectations

  • Practical daily use of Microsoft Copilot, Claude or other enterprise AI assistants.
  • Ability to explain specific examples of AI-assisted requirements, summaries, reporting, documentation, training or workflow automation.
  • Understanding of how business, product, platform and engineering teams work together.
  • Comfort with basic AI, enterprise search, platform and cloud terminology.
  • AWS familiarity is helpful but not mandatory.
  • Coding is not required. Light prompting, workflow automation or prototyping is a plus.


Responsibilities

• Translate business needs into clear workflows, requirements, actions and execution plans.

• Coordinate work across business, product, platform, engineering and vendor teams.

• Build enough operating structure to improve execution and visibility.

• Reduce the coordination and documentation burden.

• Use AI tools to improve speed, clarity, reporting, knowledge organization and training-content creation.


Detailed Responsibilities:


A. Business Process Mapping

• Lead current-state and future-state workflow analysis.

• Identify process gaps, unclear ownership, duplication, delays and improvement opportunities.

• Map how the search platform supports business workflows today and in future releases.

• Facilitate process-mapping workshops and convert discussions into clear diagrams, decisions and actions.

• Maintain process documentation as the platform and operating model evolve.

B. Requirements Management

• Gather business and functional requirements through interviews, workshops and cross-functional sessions.

• Convert broad or ambiguous requests into usable workflows, user stories, tickets, acceptance criteria or execution plans.

• Review transcripts and AI-generated summaries, then validate and refine the content.

• Identify missing, conflicting or unclear requirements and drive resolution.

• Confirm that business, product and engineering teams share the same interpretation.

C. Project and Program Coordination

• Maintain action logs, owners, target dates, risks, issues and dependencies.

• Prepare weekly status updates and executive-ready summaries.

• Follow up on overdue actions and help teams maintain accountability.

• Coordinate across multiple workstreams, stakeholders and vendors.

• Support leadership updates, working sessions and decision tracking.

D. Agile Operations

• Support sprint planning, backlog refinement, standups, retrospectives and release planning.

• Convert decisions into trackable work.

• Support prioritization discussions and dependency management.

• Introduce useful agile structure without forcing a process-heavy Scrum model.

E. Jira and Confluence Administration

• Create and maintain epics, stories, tasks, bugs and tickets.

• Support backlog organization, workflow tracking, status reporting and dashboards.

• Organize Confluence pages, templates, meeting notes, knowledge pages and platform documentation.

• Track decisions, risks, issues and dependencies in a consistent manner.

F. Platform Roadmap Support

• Help organize current and future platform priorities.

• Connect business needs to planned capabilities and releases.

• Support roadmap workshops and leadership discussions.

• Maintain a clear view of features, dependencies, user needs and planned releases.

G. Knowledge Management

• Improve information discoverability across meetings, documents and systems.

• Support AI-enabled knowledge management and context-aware collaboration.

• Reduce fragmented knowledge and duplicate documentation.

H. Training and User Adoption

• Create user guides, quick-reference guides, training presentations, playbooks, process manuals and FAQs.

• Create technical and non-technical materials for different user groups.

• Convert demonstrations, transcripts and platform information into clear enablement content.

• Use AI tools for scripts, summaries, training drafts, videos or related content where appropriate.

• Support user adoption as the platform expands.

I. AI-Enabled Ways of Working

• Use Copilot, Claude or similar enterprise AI assistants in daily work.

• Use AI to draft requirements, summarize meetings, prepare status reports and create action lists.

• Use AI to organize knowledge, create training content and reduce manual reporting.

• Recognize new use cases for enterprise AI and recommend practical improvements.
