We are looking for an AP Specialist. This is a 6-month contract opportunity based out of Costa Mesa, CA (Onsite).
Qualifications:
- Minimum 2 years’ experience in AP full cycle.
- Moderate proficiency with MS Word, MS Excel, Outlook.
Skills:
- Strong organizational and time management skills with the ability to multi-task and work autonomously or with a team.
- Must be highly motivated individual with high level of initiative.
- Strong attention to detail.
- Must be team player willing to assist others at all levels of the organization.
- 10 key by touch.
Responsibilities:
- Support the end-to-end accounts payable process, including invoice tracking, approval, and payment. Perform 3-way purchase order matching, tracking purchase orders and verifying receipts of goods or services before payment.
- Enter invoices into the Microsoft GP system, applying appropriate entity, general ledger, department, and project codes.
- Assist with weekly check run.
- Scan, copy, file all payments and backup records into digital format.
- Email weekly check copies payment to Funding and Lease Admin.
- Print and review Funding Check Requests.
- Collaborate with purchasing and technical teams across multiple entities to secure necessary approvals for invoice processing.
- Assist with payment (ACH, Wire) posting for month-end closing.
- Maintain vendor relationships by addressing discrepancies, reviewing statements conducting research, and fielding vendor and internal calls on status of payment.
- Monitoring the departmental email inbox as needed.
- Assist with process improvements and ensure compliance with GAAP accounting policies and procedures.
- Support audits and reporting requirements by maintaining organized, accurate, and complete financial documentation.
- Perform other duties as required to support the business and evolving organization.
Pay Range for CA, CO, IL, NJ, NY, WA, and DC: $25/hour to $25/hour. Starting rate of pay offered may vary depending on factors including but not limited to, position offered, location, education, training, and/or experience.
