As we continue to grow, we’re looking for a Direct Mail & Postal Operations Manager to take ownership of the data-to-mail pipeline and postal strategy behind our campaigns.
Position Overview
The Direct Mail & Postal Operations Manager is responsible for managing the workflow between customer data intake and final mail induction—ensuring accuracy, compliance, and optimal postage outcomes.
This role is heavily focused on data coordination, USPS compliance, and postage optimization. You will work cross-functionally with data processing teams, internal operations, and third-party logistics partners to ensure campaigns are executed efficiently and cost-effectively.
Key Responsibilities
Data & Workflow Management
- Receive and review customer data files for direct mail campaigns
- Collaborate with internal data processing teams to ensure proper formatting, cleansing, deduplication, and presorting
- Validate data integrity and ensure readiness for production and mailing
USPS Compliance & Mail Preparation
- Ensure all mail files and campaigns meet USPS regulations and requirements
- Oversee proper mail classification, presort standards, and documentation
- Stay up to date on USPS rules, promotions, and industry changes
Postage Strategy & Optimization
- Analyze and determine the most cost-effective postage strategies for each campaign
- Maximize postal discounts through presort, commingling, drop shipping, and other techniques
- Identify opportunities to reduce postage spend while maintaining delivery timelines
Postage Statements & Documentation
- Generate, review, and submit postage statements and required USPS documentation
- Ensure accuracy in postage calculations and billing
- Coordinate with USPS and internal teams on approvals and submissions
Logistics & Vendor Coordination
- Work with third-party postal logistics and freight providers to optimize mail transportation and drop-shipping
- Coordinate entry points (SCF, NDC, etc.) to reduce postage costs and improve delivery speed
- Manage relationships with external mailing and logistics partners
Cross-Functional Collaboration
- Partner with client services and production teams to align timelines and expectations
- Provide guidance on mail strategy during campaign planning
- Communicate proactively about potential issues, delays, or optimization opportunities
Process Improvement & Reporting
- Track postage costs, savings, and efficiencies across campaigns
- Identify and implement process improvements in data flow, documentation, and logistics
- Develop best practices for postal optimization and operational efficiency
Qualifications
Required
- 2-4 years of experience in direct mail, mailing operations, or postal optimization
- Strong knowledge of USPS regulations, classifications, and postage strategies
- Experience with presorting, NCOA, CASS, and mailing workflows
- Familiarity with postage statements and USPS documentation (e.g., Mail.dat, Mail.XML)
- Strong analytical and problem-solving skills
- Excellent organizational and communication skills
Preferred
- Experience working with third-party postal logistics
- Knowledge of postal software (e.g., BCC Mail Manager, Satori, Quadient, etc.)
- Background in high-volume direct mail environments
- Understanding of data processing workflows for direct mail

Pay
- Salary Range: $55,000 - $70,000 (Based on experience)
- Signing Bonus: Available after 6 months
