The Move-In Coordinator supports the sales and marketing process by managing the move-in workflow, assisting residents and families with required paperwork, and ensuring a seamless transition into the community. This role maintains frequent communication with prospects, internal departments, and leadership to ensure all move-ins are completed accurately, efficiently, and on time.
Key Responsibilities
Move-In Coordination & Sales Support
- Partner with the community development team to manage and streamline the move-in paperwork process
- Assist prospective residents and families in completing all required documentation prior to move-in
- Organize, distribute, and track move-in paperwork across departments
- Accurately represent the community’s services, programs, and pricing
- Respond promptly to calls and inquiries from prospects in the move-in process
- Follow up with prospects via phone, email, and written communication
- Maintain accurate records in the CRM and marketing database
- Monitor model and respite rooms daily to ensure tour readiness
- Conduct morning walk-throughs to ensure common areas are clean, organized, and welcoming
- Support furnishing and presentation of model spaces as needed
- Assist with weekly marketing and occupancy reporting
- Support competitive market analyses as requested
- Participate in stand-up meetings and collaborate with cross-functional teams
- Complete day-to-day clerical and administrative tasks
- Assist with setup and breakdown of special events and marketing activities
- Maintain current knowledge of aging, assisted living, and dementia care
- Promote teamwork, professionalism, and a positive community image
- Perform other duties as assigned
- Associate’s degree in Communications, Marketing, Public Relations, or related field preferred (or equivalent experience)
- 1 year of experience in senior living, healthcare, hospitality, or customer-facing roles preferred
- Knowledge of healthcare terminology a plus
- Strong interpersonal, organizational, and communication skills
- High attention to detail and ability to manage multiple priorities
- Compassionate, professional, and service-oriented approach
