Job Summary
The Behavioral Health Receptionist serves as the first point of contact for clients, visitors, and referring professionals. This role combines traditional front desk duties with responsibilities for conducting prescreening assessments for potential admissions into the behavioral health program. The ideal candidate is compassionate, organized, and able to maintain professionalism and confidentiality in a fast-paced clinical environment.
Key Responsibilities:Front Desk & Administrative Duties
- Greet clients, families, and visitors warmly and provide professional assistance.
- Answer incoming phone calls, respond to inquiries, and route calls to appropriate staff.
- Schedule client appointments, assessments, and follow-up visits.
- Manage the reception area to ensure it is clean, welcoming, and compliant with privacy standards (HIPAA).
- Maintain accurate and organized records, including intake paperwork and daily logs.
- Process and file documentation such as consent forms, releases, and treatment authorizations.
- Verify client insurance information.
- Support clinicians and administrative staff with data entry, correspondence, and general office duties.
Prescreening & Admission Coordination
- Conduct initial phone and in-person prescreening interviews to assess client eligibility for the program.
- Gather relevant clinical and demographic information from clients or referral sources.
- Use approved screening tools and admission criteria to determine program fit.
- Communicate prescreening outcomes to the admissions team and coordinate next steps.
- Provide information about program services, expectations, and admission procedures.
- Maintain confidentiality and comply with HIPAA and behavioral health documentation standards.
- Collaborate with clinicians and intake staff to ensure smooth transitions from prescreen to admission.
Qualifications:
- High school diploma or equivalent required; associate or bachelor’s degree in psychology, social services, or healthcare administration preferred.
- Prior experience in a behavioral health, medical, or human services setting strongly preferred.
- Strong interpersonal, communication, and organizational skills.
- Proficiency with electronic health record (EHR) systems and standard office software (Microsoft Office, Google Workspace, etc.).
- Ability to manage multiple tasks in a compassionate and professional manner.
- Knowledge of HIPAA regulations and patient confidentiality practices.
- Bilingual (English/Spanish) a plus.
