Role Description
The Talent Coordinator plays a critical role in supporting the Talent Management team across campaign execution, internal organization, and creator relations. The Talent Coordinator will manage day-to-day campaign logistics, maintain talent and brand communication, oversee internal trackers, assist with negotiations follow-up, and support a dedicated roster of creators alongside the Talent Managers at Society 18. This position is ideal for someone detail-oriented, proactive, highly organized, and passionate about influencer marketing, creator partnerships, and operational excellence.

Key Responsibilities
Campaign Management:
- Manage the full cycle of influencer campaigns from start to finish, including timelines, briefs, briefing calls, and ongoing brand/agency communication.
- Handle contracting and invoicing communications in partnership with the Talent Manager.
- Track incoming brand requests and accurately log opportunities in internal systems (Airtable).
- Collect campaign analytics and prepare post-campaign performance reports.
- Ensure timely follow-ups on all negotiations via Airtable and maintain updated statuses.
Talent Support:
- Support a designated roster of talent with day-to-day needs.
- Collect and maintain updated screenshots and performance analytics for each creator.
- Maintain media kits and details for talent in July
- Pull rates, stats, media kits, and relevant documentation for pitches and negotiations.
- Assist with new talent onboarding (bios, permissions, assets, headshots, etc.).
- Schedule meetings and send calendar invites for talent managers and talent.
- Maintain reminders for key dates, including talent birthdays and campaign deadlines.
- Support Talent Managers on talent calls (strategy calls, content calendar calls, etc).
Internal Systems & Organization:
- Maintain internal CRM, calendars, campaign trackers, and SOW documentation.
- Update pitching tracker and support outbound pitching efforts for talent.
- Keep internal Airtable records accurate, clean, and up-to-date.
- Record and distribute notes from brand and agency calls.
Administrative & Inbox Support:
- Assist with inbox management, including drafting replies and organizing inquiries.
- Monitor internal communication chains to ensure no tasks fall through the cracks.
- Provide general administrative support to the Talent Management team as needed.
Qualifications
Required:
- 1–2 years of experience in influencer marketing, talent management, social media, PR, or a related field.
- Strong organizational skills with the ability to manage multiple deadlines simultaneously.
- Excellent verbal and written communication skills.
- High attention to detail and strong accuracy in managing data and tracking.
- Proficiency with Outlook and Google Workspace (Docs, Sheets, Calendar).
- Experience working with CRMs, project management tools, or databases (Airtable a plus).
- Ability to take initiative, problem-solve, and communicate effectively with internal and external partners.
- Professional, positive attitude and ability to maintain discretion with sensitive information.
Preferred:
- Prior experience working with creators, talent managers, or influencer agencies.
- Familiarity with social media metrics, analytics, and platform best practices.
- Comfortable managing client-facing communications.
- Experience with Slack, Notion, Airtable, or similar tools.
- Interest in beauty, lifestyle, entertainment, or multicultural storytelling is a plus.
