We are seeking a highly organized, detail-oriented Insurance Coordinator / Administrative Assistant to join our dental team and work closely with our Office Manager. This role is ideal for someone who enjoys structure, problem-solving, and helping patients have a smooth, stress-free experience. Key Responsibilities:Insurance & Financial CoordinationRun a complete insurance verification for each patient—including annual maximums, deductibles, frequencies, waiting periods, alternate benefit provisions/downgrades, history checks, and any plan-specific limitations—one week prior to scheduled appointments and for all new appointments added daily.Review patient ledgers to identify outstanding balancesClean up and follow up on outstanding insurance claims, including calling insurance companies and documenting all communicationWork with the Office Manager on A/R (accounts receivable) tasks and financial workflowsAccurately enter insurance information, fee schedules, and claim details into our practice management systemFront Desk & Patient ExperienceAnswer and return phone calls, texts, and emails in a friendly and professional mannerGreet and check patients in and out, ensuring accurate intake and payment processingAssist with scheduling appointments and maintaining an efficient daily workflowSupport office operations with various administrative tasks as needed Additional TasksPosting insurance EOBs (explanations of benefits) and reconciling discrepanciesTracking claims aging reports and maintaining a clean claims pipelineSubmitting pre-authorizationsHelping patients understand their benefits, estimated out-of-pocket costs, and financial policies ScheduleThis is a full-time, in-office position with the following hours:Monday & Wednesday: 8:15 AM – 3:30 PMTuesday & Thursday: 8:15 AM – 5:00 PMFriday: 8:15 AM – 1:30 PM Required QualificationsHands-on experience with dental insurance verification (this is a mandatory qualification for the role)Knowledge of dental insurance terminology, benefit structures, frequency limitations, and downgradesStrong attention to detail and accuracyExcellent communication and documentation skillsAbility to multitask in a fast-paced environment while maintaining a positive attitudeExperience reviewing or submitting insurance claims is a plus Why Join Our Team?You’ll work closely with our Office Manager in a supportive environment where organization, communication, and patient experience matter.
