Job Overview
We are seeking a results-driven Patient Care / Front Office Coordinator to lead the patient experience from first contact through check-in. This role is ideal for someone who thrives in a fast-paced dental office, excels on the phone, and is highly organized with strong attention to detail.
Responsibilities
- Convert new patient calls into scheduled appointments (goal: 85% conversion rate)
- Answer and manage all incoming calls, missed calls, and online appointment requests promptly
- Greet and check in patients while ensuring all records and documentation are complete and accurate
- Collect patient portions at check-in and support financial communication
- Verify insurance eligibility and follow up on missing patient paperwork
- Maintain and update patient records and scan documents
- Monitor emails, texts, and faxes and respond in a timely manner
- Support patient flow, maintain a clean reception area, and ensure a smooth front office operation
- Assist with daily opening/closing tasks and end-of-day financial prep
- Participate in morning huddles and contribute to team performance goals
What We’re Looking For:
- Strong phone skills with a focus on scheduling and conversion
- Detail-oriented with strong follow-through
- Positive, professional, and patient-focused attitude
- Ability to multitask, stay organized, and work efficiently under pressure
- Previous dental or medical front office experience preferred
- Experience with Open Dental or similar software is a plus
- Bilingual (English/Spanish) preferred
- Strong computer skills preferred
