About the Role:
We are seeking a highly organized and proactive Schedule Coordinator to manage and optimize our daily schedule for maximum efficiency and production. This role is ideal for someone who thrives on structure, problem-solving, and keeping a fast-paced dental office running smoothly.
Key Responsibilities:
Schedule Management & Optimization
- Maintain a productive and full schedule for both hygiene and doctor columns
- Manage cancellations and no-shows by filling openings promptly
- Coordinate time allocation and block scheduling to maximize efficiency
- Schedule all types of appointments including new patients, emergencies, and specialty referrals
Patient Scheduling & Follow-Up
- Schedule new patients from various sources
- Manage recall systems including unscheduled hygiene, treatment, and family members
- Execute reactivation efforts and follow-up tasks
- Maintain accurate and detailed notes in operating system
Patient Communication
- Manage reminder and confirmation systems
- Ensure all patients are properly confirmed and prepared for appointments
- Provide treatment plans and financial estimates at check-out
- Support patient engagement efforts, including referral requests
- Reappoint patients effectively before they leave
- Assist with collections when applicable
- Present treatment plans and encourage case acceptance
Performance & Growth
- Track scheduling performance and key metrics
- Support growth of the hygiene department through strategic scheduling
- Contribute to daily morning huddles with schedule insights and adjustments
- Help drive practice productivity through efficient scheduling practices
Qualifications:
- Previous dental scheduling experience preferred
- Experience with Open Dental or similar software preferred
- Excellent organizational and multitasking skills
- Strong communication and problem-solving abilities
- Results-driven with attention to detail and follow-through
- Bilingual (English/Spanish) preferred
- Strong computer skills preferred

Pay: $18.00 - $23.00 per hour
