Job Summary:
The Administrative Assistant to the Superintendent provides high-level, confidential support to the Superintendent and the Board of Education. The primary goal provides high-level administrative support to the Superintednet and District Office while managing the front-desk operations. This role is responsible for creating a professional and welcoming environment, directing inquiries to the appropriate departments, and assisting the Superintendent and Superintendent’s executive team with clerical tasks, data entry, and meeting preparation.
Job Responsibilities and Functions:
*Answers the main district phone lines, providing general information and routing complex calls to the appropriate staff.
*Often acts as a "buffer," listening to community concerns and determining which issues require the Superintendent’s direct attention and which can be handled by other staff.
*Files and organizes sensitive district records, including board minutes, legal contracts, and personnel notifications.
*Helps manage the use of district conference rooms and coordinates the central office master calendar.
*Assist the Business Manager with book keeping duties from time to time.
*Coordinates all aspects of school board meetings, including the preparation of legal agendas, digital/paper board packets, and recording official minutes.
*Ensures that all public notices, job postings, and legal advertisements are displayed in the front office and or websites according to state law.
*Monitors and orders office supplies for the central administration building to ensure seamless operations.
*Conducts background checks and administers fingerprinting for all district employees.
* Handles high-stakes information regarding labor negotiations, personnel disciplinary actions, and student legal matters with absolute secrecy.
*Other duties as assigned.
