Job Title: Dental Front Office/Treatment Coordinator

OVERVIEW

The Front Office/Treatment Coordinator serves as the first point of contact for patients while managing the financial and administrative functions of the dental practice. This role is responsible for delivering exceptional customer service, scheduling appointments, managing patient accounts, verifying insurance benefits, discussing treatment costs, coordinating payment arrangements, and ensuring accurate insurance billing and collections. The ideal candidate is organized, detail-oriented, customer-focused, and knowledgeable in dental office operations and financial practices.

Essential Duties and Responsibilities:

Front Office Administration

· Greet patients and visitors in a professional, friendly, and welcoming manner.

· Answer incoming phone calls and respond to patient inquiries.

· Schedule, confirm, and modify patient appointments to optimize provider schedules.

· Check patients in and out while ensuring all required documentation is completed.

· Maintain accurate patient records, demographic information, and consent forms.

· Manage appointment reminders, recall systems, and patient follow-up communications.

· Coordinate referrals and communication with specialists and other healthcare providers.

· Ensure compliance with HIPAA and patient confidentiality requirements.

· Build positive relationships with patients and create a welcoming experience.

· Address patient questions and concerns regarding appointments, treatment plans, insurance, and billing.

· Demonstrate empathy and professionalism when discussing financial matters.

· Support patient retention initiatives and practice growth objectives.

Insurance Coordination

· Verify dental insurance eligibility, benefits, coverage limitations, and pre-authorizations.

· Explain insurance benefits and estimated patient financial responsibility.

· Submit accurate insurance claims and supporting documentation.

· Monitor claim status and resolve denied, delayed, or underpaid claims.

· Follow up with insurance carriers regarding outstanding claims and reimbursement issues.

· Maintain current knowledge of insurance plans, billing guidelines, and regulatory requirements.

Financial Coordination

· Present treatment plans and review financial arrangements with patients.

· Provide estimates of patient responsibility based on insurance benefits and treatment plans.

· Discuss payment options, financing programs, and payment policies.

· Collect co-pays, deductibles, outstanding balances, and payments for services rendered.

· Establish and monitor payment plans when applicable.

· Reconcile daily collections and payment activity.

· Assist with month-end reporting and account management.

Qualifications

Required:

· High school diploma or equivalent.

· Minimum 2 years of experience in a dental office, preferably in front desk, scheduling, insurance, or financial coordination.

Preferred:

· Associate degree in business administration, healthcare administration, or related field.

· Proficient with Denticon

· Experience with treatment presentation and patient financing options.

· Familiarity with PPO, HMO, Medicaid, and other dental insurance plans.

· Experience managing accounts receivable and insurance collections.
