We are seeking a proactive, highly organized Executive Assistant / Office Manager to support senior leadership in a fast-paced construction firm. Core Responsibilities
- Executive Support
- Manage calendars for executives, coordinating complex logistics across multiple projects (site meetings, client interviews, subcontractor coordination, travel, and accommodations).
- Screen emails/voicemails; triage and respond on behalf of the executive when appropriate.
- Prepare for board meetings and off-site events; assist with board materials, RFPs, and follow-ups.
- Coordinate internal and external communications, including conflict resolution and prioritization of requests from field teams, estimators, and finance.
- Maintain strict confidentiality around project bids, contracts, and financials; handle sensitive information discreetly.
Office & Field Operations
- Maintain a well-organized, safety-conscious office environment.
Project & Process Coordination
- Support bid/proposal activities: organize preconstruction documents, vendor lists, and submittal packages.
- Assist with HR-related tasks for field staff (onboarding/offboarding, certifications, safety trainings) and maintain personnel records.
- Coordinate with project managers to monitor milestones, deliverables, and risk registers.
Communication & Stakeholder Management
- Serve as a primary point of contact between executives, field teams, clients, subcontractors, and vendors.
- Draft internal communications, project updates, safety bulletins, and meeting summaries.
Qualifications
- 1-3 years of experience in executive support, office management, or construction administration; construction industry experience strongly preferred.
- Strong organizational skills with high attention to detail; ability to multitask across multiple projects and deadlines.
- Excellent written and verbal communication; professional, diplomatic, and discreet demeanor.
- Experience with travel planning, on-site coordination, event planning, and expense management.
- Basic financial acumen (invoicing, budget tracking, change orders) and familiarity with job costing concepts.
- Ability to anticipate needs, solve problems, and act with initiative in a field-heavy environment.
