The Onsite Meeting & Event Operations Coordinator is responsible for planning, coordinating, and executing high-volume corporate meetings, leadership sessions, and special events while delivering an exceptional client experience. This role serves as the primary point of contact for internal stakeholders, ensuring seamless event execution from planning through completion.
Key responsibilities include coordinating onsite and hybrid meetings, managing event logistics (AV, room bookings, catering, facilities, security, transportation, and vendor support), and collaborating with cross-functional teams to deliver successful events. The role also supports executive meetings, leadership programs, and other high-visibility corporate events.
The ideal candidate has experience managing multiple concurrent corporate meetings and live events in a fast-paced environment, working closely with senior leadership and executive stakeholders, coordinating with vendors and internal service teams, and maintaining event documentation, schedules, reports, and project trackers using tools such as Outlook, SharePoint, and ServiceNow.
Key Requirements:
- Experience coordinating high-volume corporate meetings and live events.
- Strong client-facing and stakeholder management skills.
- Experience supporting executive and leadership meetings.
- Ability to manage multiple events simultaneously with exceptional organizational skills.
- Experience collaborating with AV, Facilities, Catering, IT, Security, and external vendors.
- Proficiency with Outlook, SharePoint, and ServiceNow.
