POSITION OBJECTIVE
To provide strategic leadership and operational oversight of Waiver Services, ensuring high-quality, person-centered support for individuals served through BMAN and Supported Living programs. This role is responsible for supervising Waiver Program Managers, supporting contracted Behavior Consultants, maintaining regulatory compliance, supporting staff development, and fostering a collaborative team culture. The objective is to enhance service delivery, ensure documentation integrity, and build strong relationships with clients, families, and community partners—all while upholding the mission and values of Sky Point Social Services.
PRIMARY JOB DUTIES AND RESPONSIBILITIES
- Oversee compliance across all Waiver Services, ensuring adherence to PCISPs and agency standards.
- Audit client and staff documentation, including quarterly reports, risk plans, and incident reports (IRs).
- Maintain Waiver Services compliance data and support external audits (e.g., BDS).
- Review Behavior Management’s monthly summaries, quarterly reports, and collect monthly payroll records.
- Ensure BCs and WPMs receive updated Notices of Action (NOAs).
- Serve on the Leadership team, Human Rights Committee (HRC), and Compliance Team.
- Report regularly to the Director of Programming on progress, concerns, and strategic initiatives.
- Attend high-level client meetings (e.g., transitions, crisis, complex planning) to provide leadership support.
- Address family concerns related to behavioral supports and ensure high-quality service delivery.
- Assist the Director of Operations with claim denials, rejections, and billing adjustments.
- Directly supervise Waiver Program Managers (WPMs), providing consistent 1:1 supervision and coaching.
- Assist the Director of Development in overseeing onboarding, training, and mentorship of new WPMs and Behavior Consultants
- Support contracted Behavior Consultants (BCs) and HSPPs through ongoing communication and leadership.
- Assign client referrals and ensure appropriate consultant-client matching.
- Assist WPM in coordinating DSP Performance Improvement Plans (PIPs) and assist with grievance resolution.
- Conduct spot checks on staff training and monitor DSP active/inactive status.
- Monitor team schedules, time-off requests, and workload distribution.
- Assist in recruiting, interviewing, and retention strategies for WPMs, DSPs, and BCs.
- Host monthly Behavior Consultants meetings.
- Encourage professional development and provide mentorship across the Waiver Services team.
- Serve as a backup trainer for DSP orientation and assist with job-specific training.
- Manage and support BMAN client caseloads; carry a reduced Waiver caseload.
- Manage BDS Portal referrals and coordinate new client intake and referral assignments for Waiver Services, ensuring appropriate matches based on established criteria.
- Track and update unit usage for Waiver Services clients.
- Enter new clients into Extended Reach and Therap as needed.
- Approve mileage, expense reports, timesheets, and contractor invoices.
- Promote a positive and collaborative team culture through morale-building and mentorship.
- Coordinate monthly Waiver team and billing meetings.
- Support planning of client engagement events (e.g., Friendship Day, March Madness).
- Organize Waiver staff appreciation efforts (e.g., birthdays/anniversaries, DSP Appreciation Week).
QUALIFICATIONS AND EDUCATION
- Bachelor’s degree in Human Services or related field (Master’s preferred).
- Minimum three years of experience in Waiver Services, including staff supervision
- Familiarity with Indiana Medicaid Waiver programs and service delivery models
- High level of knowledge and efficiency in online systems (such as Google Suite, Therap, ExtendedReach, and BDS Portal systems) and user interface systems.
- Strong leadership, communication, and conflict resolution skills
- Must be an independent worker and efficient in tasks with little oversight.
- Knowledge of basic mathematics and simple budget management.
