Duties
- Greet visitors and clients warmly, providing professional and friendly customer service at the front desk
- Manage multi-line phone systems, screen calls, and direct inquiries efficiently using proper phone etiquette
- Handle data entry, filing, and document proofreading to maintain accurate records and ensure document clarity
- Assist with calendar management, appointment scheduling, and coordinating meetings for staff or executives
- Support office management tasks such as supply inventory, basic bookkeeping with QuickBooks, and organizing office supplies
- Perform clerical duties including typing correspondence, updating databases, and maintaining organized filing systems
- Provide support for administrative projects, including Google Workspace document creation and Microsoft Office tasks
Requirements
- Proven experience in an office environment or as a receptionist with strong clerical skills
- Excellent computer skills including proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry software
- Familiarity with QuickBooks or bookkeeping experience is highly desirable
- Bilingual abilities are a plus to effectively communicate with diverse clients and team members
- Strong organizational skills with the ability to prioritize tasks and manage time effectively
- Exceptional phone etiquette skills with experience handling multi-line phone systems and customer support
- Previous experience in medical or dental reception is advantageous but not required; personal assistant experience is also valued
- Ability to perform clerical tasks such as proofreading, filing, and maintaining accurate records with high attention to detail
