Job Overview
We are seeking an energetic and detail-oriented Office Assistant/Receptionist to join our dynamic team! This vital role combines front desk responsibilities with administrative support, ensuring our office runs smoothly and efficiently. Duties

  • Greet visitors and clients warmly, providing professional and friendly customer service at the front desk
  • Manage multi-line phone systems, screen calls, and direct inquiries efficiently using proper phone etiquette
  • Handle data entry, filing, and document proofreading to maintain accurate records and ensure document clarity
  • Assist with calendar management, appointment scheduling, and coordinating meetings for staff or executives
  • Support office management tasks such as supply inventory, basic bookkeeping with QuickBooks, and organizing office supplies
  • Perform clerical duties including typing correspondence, updating databases, and maintaining organized filing systems
  • Provide support for administrative projects, including Google Workspace document creation and Microsoft Office tasks

Requirements

  • Proven experience in an office environment or as a receptionist with strong clerical skills
  • Excellent computer skills including proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry software
  • Familiarity with QuickBooks or bookkeeping experience is highly desirable
  • Bilingual abilities are a plus to effectively communicate with diverse clients and team members
  • Strong organizational skills with the ability to prioritize tasks and manage time effectively
  • Exceptional phone etiquette skills with experience handling multi-line phone systems and customer support
  • Previous experience in medical or dental reception is advantageous but not required; personal assistant experience is also valued
  • Ability to perform clerical tasks such as proofreading, filing, and maintaining accurate records with high attention to detail

Pay: $23.17 - $24.90 per hour
