Aesthetic Coordinator
Skin Esteem Med Spa & Wellness Center is a rapidly growing and multi award winning med spa having been voted the best day spa on the South Shore four years in a row through Wicked Local and Best Med Spa by South Shore Home. Life & Style magazine two years in a row.
We pride ourselves in giving each client an exceptional service from the moment they enter the spa through follow up after their treatment. Each client has their own personalized treatment plan, and we strive to make them feel relaxed and comfortable each time they visit the spa.
POSITION OVERVIEW
As a aesthetic coordinator, you will be supporting the providers at the spa as well as interacting with clients throughout their visit:
- Always present a warm, gracious, and professional persona
- Facilitates positive client office experience while maintaining efficiency: Opens treatment rooms. Turns iPad on and signs in. Checks room supplies. Checks schedules. Provides superior customer service. Greets clients in a friendly manner. Guides and controls client flow to minimize client wait and maximize efficiency. Assists clients as needed with walking, transfers, dressing, preparing for treatment, etc. Moves visits along tactfully.
- Works closely with office manager and front desk staff.
- Supports checking in and checking out clients. Uses EMR to facilitate timely transition of clients to treatment rooms.
- Prepares room for treatments: Anticipates treatment needs. Sets up room and supplies for anticipated procedures. Monitor’s expiration dates on medications and supplies in treatment rooms. Cleans and prepares room for next client. Disinfects and sanitizes rooms and instruments. Restocks room with supplies and instruments as needed.
- Completes accurate and timely documentation: Completes documents appropriately and timely in client records. Takes, uploads and transfers client photos into medical records. Completes associated clerical tasks, including but not limited to scheduling treatments/return visits with providers. Ensures adequacy and organization of aesthetic supplies.
- Processes clients at check-out: Support front desk in checking out clients. Collect treatment fees and schedules follow-up appointments, answers client questions regarding products, sell products and answers questions in a helpful and polite manner.
- Performs other duties as assigned.
- Provide all the above through a seamless client experience
Additional responsibilities:
- Practice the highest standards of sanitation, neatness, and visual presentation
- Keep your workspace, equipment, and spa clean so when every client comes in, they feel the spa embodies a sterile and welcoming environment.
- Maintain treatment suite inventory and other organizational tasks
- Attend and participate in all team meetings
- Attend in-house training appropriate to your role
- Remain open to coaching and improvements to perfect skills
- Participates in marketing & special event planning and execution. This includes helping to promote events through Social Media and take part in setup and break down of events once they are safe to resume in person. Events help support the growth of Skin Esteem Med Spa while educating clients on our services.
- Supports Skin Esteem Social Media strategy through active Instagram post contribution either as a contributor or through supporting engagement of our main page
- Abide by all county, state and local laws and regulations for sanitation, cleanliness, and safety
- Adhere to work schedule and maintain good work ethic
- Maintain a professional image in dress, appearance, language, and lifestyle
- Be aware of the cost of items such as gauze, gloves, numbing cream etc. and avoid wasteful practice.
It is important every client has an amazing experience from the moment they walk into the spa until when they leave, and you will be an integral part of that experience. You will be responsible for greeting and scheduling / follow up for every client or potential customer you interact with at the spa.
Hours:
A part time role is expected to work 2-3 days a week. We will be flexible with your schedule providing you give advanced notice when we are putting the monthly schedule together. A typical shift is from 8:30AM - 5:20PM on weekdays. Thursday's we are open from 9:30-6:20 and on select Saturdays from 9:30AM – 2:15PM.

- Proficiency in patient service and front desk operations

Job Type: Part-time
Pay: $19.00 - $24.00 per hour
Expected hours: 16 – 30 per week
