Staffing CoordinatorThe Staffing Coordinator plays a key role in ensuring our facility is properly staffed to provide excellent care. This position is responsible for creating and maintaining staff schedules, tracking attendance, monitoring lateness and absences, minimizing overtime, and preparing staffing reports for management. The Staffing Coordinator also works closely with Human Resources to keep staff contact information updated and ensure all attendance-related policies are followed.Key ResponsibilitiesCreate and post monthly staff schedules; track changes and approve shift trades as delegated by the DON.Post and fill open shifts promptly.Maintain accurate records of call-offs, tardiness, and early arrivals; work daily with HR to uphold attendance policies fairly and consistently.Alert HR to potential FMLA or other leave-of-absence needs.Monitor daily PPD and staffing levels.Monitor and reduce overtime usage.Notify HR of terminations or no-call/no-shows to support timely replacement.Maintain up-to-date phone and email contact lists; reach out to employees to fill open shifts.Coordinate orientation schedules with HR for new hires.Contact agency staffing only when necessary to meet coverage needs.Assist new employees in understanding facility routines, policies, and procedures.Provide timely staffing and attendance reports to the DON, Administrator, and management team.Notify HR of any employee status changes (e.g., part-time to full-time).Track agency use and help ensure staffing costs stay within budget.Submit daily attendance documentation to payroll.Prepare accurate daily staffing schedules for each shift.Update the ADON/DON on staffing concerns or challenges.Maintain accurate PTO and schedule change request records.Assign and manage pool staff within the timekeeping system.Perform other duties as assigned by the Director of Nursing.QualificationsHigh school diploma or GED required.Strong computer skills required.Previous scheduling experience required.Experience in a long-term care setting required.Strong communication and organizational skills.Ability to work independently and as part of a team.Benefits (for eligible employees)Health and Dental InsuranceGenerous Paid Time Off (PTO)Ongoing training and developmentRecognition and appreciation programsTuition reimbursementWe are proud to be an Equal Employment Opportunity employer.We do not discriminate based on race, religion, color, national origin, sex (including pregnancy or related conditions), sexual orientation, gender identity or expression, age, disability, veteran status, or any other legally protected characteristic.
