HR Specialist

Job Summary

We are seeking a detail-oriented and versatile HR Specialist to support our HR Client Managers in delivering exceptional service to their clients. In this role, you will assist HR Client Managers by managing key HR functions such as benefits administration, compliance audits, and employee relations support. You will be responsible for auditing systems and processes, assisting with compliance-related tasks, supporting the development of training materials, and maintaining accurate and up-to-date employee handbooks. Additionally, you will help manage tasks related to unemployment claims, termination administration, and ensure accurate HRIS updates. This role requires strong data management and reporting skills, as well as a high level of accuracy in maintaining company information. You will work collaboratively as part of a team that supports HR Client Managers, helping to deliver consistent, high-quality HR services to our clients.

Key Responsibilities

Compliance Auditing: Perform regular compliance audits to ensure adherence to company policies and legal regulations.

Employee Handbook Management: Assist in creating and updating the employee handbook, ensuring it reflects current policies and legal requirements.

Training Support: Assist in the creation of training programs and materials for client use.

HRIS Administration: Audit and approve weekly updates to the HRIS system, ensuring data integrity and accuracy.

Benefits Administration: Administer employee benefits, including enrollments, terminations, and COBRA management. Handle benefit-related inquiries and ensure compliance with legal requirements.

Company Information Maintenance: Maintain accurate company data, including earnings, deductions, departments, and general ledger (GL) codes.

Unemployment Claims Management: Manage unemployment claims, respond to inquiries, and handle related documentation.

Termination Administration: Coordinate termination processes, ensure retrieval of company property, process final pay/benefits, and document compliance steps.

Performance Review Administration: Create and maintain performance review templates and processes.

Custom Report Creation: Generate and customize HR-related reports based on business and client needs.

Annual and Quarterly Reporting: Manage annual reporting tasks such as OSHA logs and ensure accurate and timely completion of quarterly and year-end reviews.

Data Services Review: Review deliverables from the Data Services team for accuracy and completeness; provide feedback and corrections as needed.


Qualifications

  • Bachelor’s degree in Human Resources, Business Administration, or related field; or equivalent work experience.
  • 1–3 years of HR operations, generalist, or HR coordinator/specialist experience supporting multiple stakeholders or client accounts.
  • Working knowledge of U.S. employment laws and regulations (e.g., FLSA, FMLA, ADA, EEO, OSHA) and benefits compliance (ACA, ERISA, COBRA, HIPAA).
  • Hands-on experience with HRIS platforms. Exposure to systems such as ADP, UKG, Paylocity, or similar is a plus.
  • Proficiency with Microsoft Excel (pivot tables, lookups, data validation) and strong general Microsoft 365 skills (Word, PowerPoint, Outlook).
  • Familiarity with people/talent tools (e.g., Lattice) and CRM/work management platforms (e.g., Salesforce, Teams) preferred.
  • Exceptional attention to detail with a high standard for data quality, documentation, and confidentiality (HIPAA/PHI handling awareness).
  • Strong written and verbal communication; customer-service mindset with the ability to translate technical HR concepts for non-HR audiences.
  • Proven ability to prioritize, meet deadlines, and manage multiple requests in a fast-paced, team-oriented environment.
  • Demonstrated ability to work independently with minimal supervision, as well as collaboratively within a team environment
  • Professional certifications such as SHRM-CP or PHR are a plus.

Salary : $70,000 - $80,000
