JOB SUMMARY:
Skenandore Wilson LLP is seeking a detail-oriented, dynamic and experienced Client Accounts Manager/Legal Billing Specialist to manage our client invoicing process. The successful candidate will be responsible for the full-cycle billing process, including generating draft invoices (pre-bills), editing according to attorney/client guidelines, tracking and invoicing expenses, and finalizing invoices to send to clients. This position requires accuracy in billing, compliance with client guidelines, and timely submission to support the firm’s cash flow. This position works under moderate supervision and exercises a high level of discretion and independent judgment.

KEY RESPONSIBILITIES:
· Invoice Generation & Editing: Prepare, review, and edit monthly pre-bills for assigned attorneys, ensuring accurate hourly rates, discounts, expenses, and fee arrangements (flat fee, hourly, capped). Manage and maintain client accounts, ensuring all billing is accurate, complete, and compliant with legal standards
· Client Guidelines Compliance: Adhere strictly to client-specific billing guidelines and billing narratives.
· eBilling Submission: Submit finalized invoices through various electronic billing portals (e.g., Clio, Legal Tracker, Elite 3E).
· Dispute Resolution: Proactively follow up on rejected or reduced invoices, collaborating with partners, attorneys, and clients to resolve issues.
· Communication: Maintain professional communication with attorneys, staff, and clients regarding billing inquiries.
· Records Management: Maintain accurate billing records, fee agreements, and client-matter data within the firm’s accounting system.
· Coding Expenses: Manage and code Firm and attorney expenses in chart of accounts to be sent to accountants.
· Collections Support: Assist the accounts receivable team in monitoring unapplied credits and following up on overdue accounts.
· Paralegal/Legal Assistance Support: Assist with light paralegal/legal assistant duties.
REQUIRED QUALIFICATIONS:
· 5 years of billing experience, specifically within a law firm or professional services environment.
· Proficiency in legal billing software (e.g., Clio, Legal Tracker, Elite 3E).
· Strong knowledge of e-billing systems and LEDES formats.
· Advanced MS Excel skills.
· Exceptional attention to detail and ability to handle high-volume, complex billing.
· High School Diploma required; minimum of Associate’s or Bachelor's degree preferred.
