Summary

The Public Program Coordinator is an integral member of the SITE SANTA FE team who coordinates all aspects of the Public Programs including but not limited to administrative responsibilities and also, technical riders and logistics day-of. The Public Programs Coordinator reports to the Deputy Director and the Director of External Affairs and works collaboratively with other departments to plan and execute an array of diverse Public Programs at SITE including talks, and various types of performances. This is a part-time, seasonal position supporting 8–10 public programs throughout the summer and fall season. Hours vary based on the program calendar, ranging from approximately 8 hours per week during planning periods to 25 hours per week during active programming. Evening and weekend availability is required during program dates.


Responsibilities:

  • Support the planning, coordination, and execution of all Public Programs and live activations at SITE SANTA FE.
  • Responsible for all administrative responsibilities connected to the Public Programs including:
    • Communicate with the presenters about their program, timelines, expectations, etc.
    • Prepare, send, and receive contracts with presenters, and ensure timely payment.
    • Coordinate all travel and accommodation for presenters coming from outside of Santa Fe.
    • Compile biographies and headshots of presenters for promotional efforts.


  • Coordinate and plan other needs from other departments in support of the programs, including AV, facilities, and other staffing.
  • Coordinate special needs for each program including layout, tech riders, presenter green room requests, and presenter media such as PowerPoint or videos.
  • Create a run-of-show document for each program and disseminate the information to staff accordingly.
  • Participate in meetings and provide production updates to staff.
  • Support other departments with the logistics of live programming as needed, such as annual benefit and other membership-related events.

 

Qualifications

  1. At least 3 years of experience working in administration, museums, public programming, or related fields.
  2. At least 1 year of experience working in a production setting, preferred
  3. Strong organizational skills, and a strong attention to detail.
  4. Excellent interpersonal skills, and the ability to communicate well with others.
  5. Ability to prioritize and manage time, multitask, take initiative, and meet deadlines in a fast-paced environment with rapidly shifting priorities.
  6. Must be a self-starter and creative problem solver.
  7. A high degree of computer literacy and competency in the Google and MS Office suites.
  8. Ability to work collaboratively with staff and maintain a high degree of professionalism in a dynamic and creative setting.
  9. Available to work nights and weekends as needed to support public programs and events.
