Summary: As the primary face/voice for our dog training clients and potential clients, the Office Administrator must be our “Chief Energy Officer” and always project positive energy, confidence, and clarity with all forms of communication with clients, potential clients and team members. We are looking for a charismatic, customer service-oriented individual, who is tech-savvy, works well in a team and independently, takes initiative, knows how to problem-solve, and participates in achieving the share goals/vision of our team!
Hours may change, but are likely to be Tuesday - Friday, 10am - 7pm and Saturday, 9am - 6pm
Duties and Responsibilities include the following. Other duties may be assigned.
- Answers telephone calls and responds to emails and texts in a timely manner.
- Schedules lessons, consultations, boarding, training, and reviews for trainers.
- Creates invoices for clients and enters all transactions into QuickBooks.
- Updates and keeps correct customer profile in CRM software.
- Updates and keeps correct transaction information in QuickBooks.
- Handles customer service issues.
- Communicates, as necessary, with management and staff.
- Processes payments.
- Greets clients as they enter our office.
- Helps maintain a clean, safe, and organized work environment.
- Makes follow-up and client calls, as needed, to support excellent customer service and as referenced in CRM software.
- Responds to client email and texts, as needed, to support excellent customer service, and as referenced in CRM software.
- Handles client credit card information securely.
- Calls veterinarian offices for vaccination information.
- Ensures calendars are correct and updated for all trainers and staff.
Qualifications
- Proficiency in Microsoft Office suite, particularly Excel and Word
-Proficiency in using QuickBooks
- Strong organizational skills with attention to detail
- Excellent customer service and communication skills
- Prior administrative experience required, especially in a fast-paced environment
- Experience utilizing multiple interactive scheduling calendars, with ability to multitask and prioritize tasks effectively
Job Type: Full-time
Pay: $17.00 - $20.00 per hour
