We are seeking a Bookkeeper / Office Manager to join our team. This is a key operational role responsible for supporting the financial and administrative functions that keep projects and day-to-day business operations running smoothly.
This position reports directly to company leadership and is ideal for someone who is highly organized, dependable, detail-oriented, and comfortable managing both bookkeeping responsibilities and office operations in a fast-paced, team-oriented environment.
Position Overview
The Bookkeeper / Office Manager plays a critical role in supporting company operations through financial accuracy, organization, and day-to-day administrative coordination.
This role requires someone who can confidently manage bookkeeping functions while also helping maintain an organized, professional office environment that supports a growing team.
The ideal candidate is proactive, trustworthy, responsive, and comfortable balancing multiple priorities with strong attention to detail.
Key Responsibilities
Bookkeeping & Financial Coordination
• Manage accounts payable and accounts receivable processes
• Process client invoicing and vendor invoices accurately and efficiently
• Perform bank reconciliations and financial recordkeeping
• Coordinate payroll processing and related documentation
• Support sales tax reporting and financial documentation
• Communicate with clients, vendors, and manufacturers regarding invoices, payments, and account inquiries
• Maintain organized financial records and support leadership with reporting needs
• Assist in monitoring outstanding receivables and payment follow-up
Office Management & Administrative Support
• Help oversee day-to-day office operations and administrative coordination
• Maintain organization of office systems, supplies, and workspace needs
• Support scheduling, vendor coordination, and internal team logistics
• Help maintain a professional, organized, and welcoming office environment
• Provide administrative and operational support to leadership as needed
• Assist with internal organization, process support, and special projects
Qualifications
• 3 years of bookkeeping, office management, or accounting support experience preferred
• Strong knowledge of accounts payable, receivable, reconciliations, and financial recordkeeping
• QuickBooks experience required
• Strong proficiency in Microsoft Excel and Microsoft Office Suite required
• Experience with payroll coordination and invoice processing preferred
• Strong organizational skills with exceptional attention to detail
• Ability to manage multiple priorities and maintain confidentiality
• Professional communication skills and a proactive, problem-solving mindset
