Purchasing Assistant
We are seeking an experienced Purchasing Assistant to join our growing company team. The Purchasing Assistant is responsible for the efficient processing of procurement for raw materials, merchandise, equipment and supplies to support our manufacturing, fabrication and distribution operations. In this position you will work closely with the procurement manager and other employees to maintain inventory levels, expedite incoming shipments, control costs, and insure the accuracy of shipment status and purchasing and payable data in our system. Daily tasks will include the ordering of materials, supplies, and/or equipment, data entry and file maintenance, and following through with vendors on shipment and delivery.
Responsibilities
- Preparing purchase orders in both US dollars and foreign currencies.
- Insuring accurate cost entry and maximizing available discounts and payment terms.
- Requesting acknowledgements of purchase orders from vendors both foreign and domestic.
- Communication with shippers and freight forwarders, obtaining freight cost and time estimates.
- Tracing shipments to ensure timely delivery; Entry of and updating promised delivery dates.
- Maintaining records and organized files for all purchasing-related matters.
- Overseeing office equipment and supplies procurement.
- Maintain up to date vendor interaction information in CRM.
- Perform other administrative duties as needed.
- Attend and actively participate in Staff Meetings
Requirements
- Minimum 2 years in an administrative purchasing or procurement assistant role.
- Associates Degree or Bachelors Degree preferred.
- High proficiency with Microsoft Excel a must.
- Experience with basic bookkeeping and Accounts Payable practices
- Data Entry precision and ability to learn company CRM software quickly.
- Ability to formulate and deliver crisp communication that can be understood at all levels.
- Excellent telephone handling skills.
- Professional appearance and workplace habits with an outgoing and personable manner.
- Excellent organizational skills, strong planning and time management skills.
