The School Bookkeeper is responsible for managing school-level financial transactions, maintaining accurate accounting records, and ensuring compliance with district, state, and federal regulations. This position supports the principal, staff, and district finance office by monitoring budgets, handling purchasing, and maintaining activity funds for elementary, middle, or high school operations.

SUMMARY:
The School Bookkeeper is responsible for managing school-level financial transactions, maintaining accurate accounting records, and ensuring compliance with district, state, and federal regulations. This position supports the principal, staff, and district finance office by monitoring budgets, handling purchasing, and maintaining activity funds for elementary, middle, or high school operations.
Qualifications
- High school diploma or GED required; Associate’s or Bachelor’s degree in accounting, business, or related field preferred.
- Minimum of two (2) years of bookkeeping, accounting, or financial clerical experience; school finance experience preferred.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and financial management software.
- Knowledge of accounting principles, budgeting, and cash handling procedures.
- Strong organizational and recordkeeping skills with attention to detail.
- Ability to meet deadlines and manage multiple priorities.
- Professional demeanor and ability to work effectively with administrators, staff, vendors, parents, and auditors.
- Ability to maintain confidentiality of financial and personnel information.
- Maintain accurate records of all school financial transactions, including activity funds, student fees, and departmental budgets.
- Prepare and process purchase orders, requisitions, invoices, and reimbursements.
- Collect and receipt all school funds, prepare bank deposits, and reconcile accounts.
- Maintain accounting ledgers, spreadsheets, and financial reports in compliance with district and state guidelines.
- Assist the principal in developing, monitoring, and reporting the school’s budget.
- Support the district business office in audits, monitoring, and state reporting requirements.
- Ensure compliance with Mississippi Department of Education (MDE) regulations, federal guidelines, and district financial policies.
- Assist with payroll-related clerical tasks such as timesheets, leave reporting, and substitute records.
- Maintain confidentiality of financial and personnel records.
- Provide clerical support for the principal and staff as assigned.
- Communicate with vendors, parents, and staff regarding financial transactions and procedures.
- Train and support staff in proper handling of student activity funds and financial procedures.
- Perform other duties as assigned by the Principal or Business Manager.
