About the Role
As we scale, our payroll operations require an agile, sharp, and highly independent individual to ensure our global team is supported accurately and efficiently. Based in our Miami or New Jersey office, the Senior Payroll Specialist will take primary ownership of day-to-day US payroll operations utilizing Paycor, seamlessly integrating workflows with our global HRIS, Workday. This role serves as the heavy lifter for our US footprint, while also managing a minor international pay run for Canada via Deel.
Responsibilities
Core US Payroll Operations (Primary Focus)
- Manage the end-to-end processing of accurate, timely, and compliant payroll for all US employees across multiple states utilizing Paycor for approximately 200 employees.
- Ensure seamless data synchronization between Workday (HRIS) and Paycor for new hires, terminations, compensation adjustments, and benefits.
- Maintain strict compliance with federal, state, and local tax requirements, handling payroll filings and statutory reporting autonomously.
- Act as the primary point of contact for US employee payroll and tax inquiries.
International Payroll Management (Small Footprint Runs)
- Manage the monthly payroll for the Canadian (CA) entity using Deel (small pay run), currently 11 employees.
Month-End Close Support & Finance Sync
- Own the payroll component of the End-of-Month (EOM) close process, ensuring all data aligns with global financial deadlines.
- Prepare, format, and deliver clean payroll data outputs and reports required for journal entries and accruals to the finance team for upload into Sage Intacct.
- Assist the finance team with payroll-to-GL data tracking and variance resolutions.
Qualifications
Must-Haves:
- US Multi-State Expertise: Strong background managing payroll across multiple US states, with a solid grasp of varying state tax codes, labor laws, and filing deadlines.
- System Proficiency: Hands-on experience with Paycor (or a highly similar US payroll platform) and working familiarity with Workday.
- Fast-Paced Adaptability: Experience working in a rapidly changing, fast-moving corporate environment. You adapt to process changes easily and view business scaling as a welcome challenge.
- High Autonomy & Self-Sufficiency: Proven ability to troubleshoot and solve problems independently. While office-based, you will not be sitting directly with your immediate team, making resourcefulness essential.
Highly Desirable (Nice-to-Haves):
- System Familiarity: Prior exposure to Deel.
- Accounting/Finance Comfort: While deep accounting knowledge isn’t required, a basic understanding of how payroll reports feed into general ledgers, journal entries, and accruals is a significant benefit.
