Position Summary:
The Operations Coordinator supports the day-to-day administrative functions of the engraving and shipping teams. This entry-level role is central to keeping orders moving accurately and on time — from creation in our ERP system (NetSuite) through fulfillment. The ideal candidate is highly organized, comfortable working across multiple departments, and takes pride in keeping things running smoothly behind the scenes.
This position works closely with Graphic Artists and the Operations Supervisor to maintain real-time order visibility, communicate updates across all sales channels, and ensure workflow consistency.

Primary Duties and Responsibilities:
- Creates, processes, and distributes production work orders in NetSuite.
- Uploads and maintains daily engraving orders within the order tracking system.
- Monitors and updates work order statuses to ensure accuracy and real-time visibility.
- Tracks open orders and proactively follows up on incomplete or stalled orders.
- Monitors orders that have been picked but not yet shipped and escalates as needed.
- Communicates order status and ship date updates to all sales channels.
- Monitors and responds to emails and inquiries from internal and external sales channels in a timely manner.
- Identifies, troubleshoots, and escalates order issues, delays, or system errors.
- Maintains accurate system data and supports workflow consistency across departments.
- Collaborates with cross-functional teams to support continuous process improvement.
- Performs all other duties as assigned.
Qualifications Required:
- High school diploma or equivalent.
- Minimum 1 year of administrative, operations, or customer-facing experience.
- Proficiency in Microsoft Excel and/or Google Sheets.
- Comfortable learning new software systems; experience with NetSuite, Shopify, or other Enterprise Resource Planning (ERP)/ Warehouse Management System (WMS) platforms.
- Strong attention to detail and commitment to accuracy.
- Ability to manage multiple tasks and shifting priorities in a fast-paced environment.
- Clear, professional communication skills – both written and verbal.
