About the Role:

The Patient Coordinator at Kristo Orthodontics plays a critical role in ensuring an exceptional patient experience by providing comprehensive support throughout the patient care journey. This position involves acting as a liaison between patients and clinical staff, addressing patient inquiries, scheduling appointments, and facilitating communication to promote smooth and efficient operations. The specialist will manage patient records with accuracy and confidentiality, assist with insurance verification and billing questions, and help resolve any concerns to enhance patient satisfaction. By maintaining a compassionate and professional demeanor, the Patient Coordinator contributes to building trust and fostering long-term relationships with patients. Ultimately, this role is essential in supporting the practice’s mission to deliver high-quality orthodontic care with a patient-centered approach.

Responsibilities:

• Serve as the primary point of contact for patients, responding promptly to phone calls, emails, and in-person inquiries.
• Schedule and confirm patient appointments, coordinating with clinical staff to optimize daily workflow.
• Assist patients with insurance verification, billing questions, and payment processing to ensure clarity and accuracy.
• Maintain and update patient records in compliance with privacy regulations and office policies.
• Collaborate with the orthodontic team to communicate treatment plans, appointment reminders, and follow-up care instructions.
• Address and resolve patient concerns or complaints with empathy and professionalism, escalating issues when necessary.
• Support administrative tasks such as preparing patient forms, managing correspondence, and organizing patient files.

The Patient Coordinator utilizes strong communication skills daily to clearly and compassionately interact with patients, ensuring their questions and concerns are addressed effectively. Organizational skills are essential for managing appointment schedules, patient records, and administrative tasks to maintain smooth office operations. Proficiency with electronic health records and practice management software enables accurate data entry and retrieval, supporting clinical and billing processes. Problem-solving skills are applied when resolving patient issues or coordinating between departments to facilitate seamless care delivery. Additionally, empathy and cultural sensitivity are critical in building rapport with patients from diverse backgrounds, enhancing their overall experience at the practice.

Minimum Qualifications:

• High school diploma or equivalent required.
• Previous experience in a healthcare or dental office setting preferred.
• Strong communication and interpersonal skills to effectively interact with patients and team members.
• Basic computer proficiency, including experience with electronic health records (EHR) systems.
• Ability to handle sensitive patient information with confidentiality and professionalism.

Preferred Qualifications:

• Associate degree or certification in healthcare administration or related field.
• Experience working in an orthodontic or dental practice environment.
• Familiarity with insurance processes and medical billing procedures.
• Proficiency in practice management software and Microsoft Office Suite.
• Bilingual abilities to support a diverse patient population.

Details: 

• Monday – Friday (7:00AM - 5:00PM)
• No Evening, No Holidays, No Weekends
• Benefits Offered
• Pay Range: $18 - $20
• $1,000 Sign on bonus
• Multi-Location Practice: Eau Claire, Chippewa Falls, Rice Lake, Bloomer, Black River Falls, Stanley
