What are the responsibilities and job description for the Wellness Sanctuary Coordinator position at Silver Sands Motel and Beach Bungalows?
Overview
The Salt Marsh Wellness Sanctuary is a private, nature-immersed retreat set at the edge of the tidal wetlands at Silver Sands Motel. Designed for intentional rest and restoration, it operates by reservation only and hosts a carefully sequenced program of hydrotherapy, therapeutic treatments, and guided movement.
We’re looking for a Wellness Sanctuary Coordinator who can hold two things simultaneously: a warm, unhurried presence with guests, and the precision of someone managing a high-touch, operationally detailed program. This is not a passive role. You are the face of the Sanctuary and the engine behind it.
Key Responsibilities
Guest Communication & Booking Management
- Own guest communication from first inquiry through post-visit, following established communication standards and protocols
- Draft and send personalized emails that reflect the voice and standards of the Sanctuary
- Manage reservations and scheduling through Booker, coordinating bookings for hydrotherapy, treatments, and movement classes
- Coordinate with the hotel’s Guest Services team to triage and respond to wellness inquiries in a timely, elevated way
- Liaise with practitioners to confirm availability before proposing options to guests
Guest Experience
- Welcome guests personally and guide them through their arrival orientation
- Ensure each session feels unhurried, private, and seamlessly executed
- Maintain the calm, intentional atmosphere of the space throughout the day
Operations & Facility Management
- Prepare the space for each reservation: ambiance, amenities, linens, product placement
- Execute thorough turnovers between sessions (approximately 30 minutes), including cleaning, replenishment, and reset
- Maintain daily logs for the session schedule and facility use
- Monitor and document temperature and cleanliness of the hydrotherapy circuit: infrared/panoramic hybrid sauna, steam room, and cold plunge
- Manage supply inventory and flag replenishment needs proactively
- Water indoor and outdoor plants weekly; maintain the living quality of the space
Team Collaboration
- Coordinate with front desk, housekeeping, and facilities as needed
- Communicate guest observations and feedback to management
- Support special reservations including press visits, private group bookings, and partnership events
What We’re Looking For
- Prior experience in hospitality, wellness, or guest services preferred
- Comfortable working with digital tools, including booking systems and structured communication workflows; strong written communication skills are essential to this role
- Exceptionally organized with strong attention to detail; the ability to write a warm, precise guest email matters here
- Calm under pressure, self-directed, and attuned to the details that shape an experience
- Physically able to manage turnover tasks and operate in warm or humid environments
- Available on weekends and holidays as part of a regular schedule
Schedule & Compensation
- Shifts align with the daily session schedule; breaks built between sessions
- Includes weekends and holidays
