Position Overview:
Litigation Administrative Assistant
We are seeking a Litigation Administrative Assistant to provide high-level administrative and legal support to our attorneys. The ideal candidate is detail-oriented, proactive, and able to manage multiple priorities. This role is essential in ensuring efficient case flow, organized communication, and seamless operational coordination across the firm.
Key Responsibilities
- Maintain attorney calendars, coordinate internal and external meetings, schedule hearings and deadlines, and ensure timely reminders for all case-related obligations.
- Answer and route calls on a multi-line phone system; serve as a professional and informed point of contact for clients, opposing counsel, court personnel, and vendors.
- Research, arrange, and confirm travel itineraries; prepare expense reports in accordance with firm and client billing policies.
- Draft, edit, proofread, and finalize legal correspondence, memoranda, pleadings, and other firm publications; ensure documents are properly formatted and compliant with court filing standards when applicable.
- Maintain organized electronic and physical case files; assist with e-filing and document archiving; ensure version control and confidentiality standards are upheld.
- Assist with formatting and posting website articles, blog content, newsletters, and firm announcements in collaboration with internal stakeholders.
Qualifications
- MUST have a minimum 2 years of administrative legal support experience in a law firm or corporate legal department.
- Bachelor’s degree preferred but not required.
- Proficiency in Microsoft Office Suite (Word, Outlook, Excel, and PowerPoint).
- Experience working with CRM platforms and the ability to adapt quickly to new software systems.
- Familiarity with accounting or billing software is a plus.
- Strong organizational, data entry, and database management skills, with a high degree of accuracy and attention to detail.
- Excellent written and verbal communication skills and a professional client-service mindset.
Compensation & Benefits
- Salary: $50,000 – $65,000, commensurate with experience.
