Manufacturing Operations Assistant (Executive Support)
Position Overview:
We are seeking a highly capable and experienced Manufacturing Operations Assistant to work directly with ownership in a fast-paced custom fabrication environment. This role combines administrative, operational, and production support responsibilities and requires strong business acumen, attention to detail, and the ability to proactively manage priorities across multiple departments.
The ideal candidate is seasoned, resourceful, and comfortable operating with minimal supervision while helping drive accountability, organization, and execution throughout the business.
Key Responsibilities:
Quoting & CRM Management
· Prepare and manage customer quotes using Microsoft Dynamics CRM
· Track and follow up on open quotes to ensure timely completion
· Gather required inputs (materials, labor, timelines) for accurate estimating
· Maintain organized records of quotes and revisions
· Assist ownership in prioritizing and completing bids and proposals
Material Sourcing & Pricing
· Source and price raw materials, components, and outsourced services
· Develop and maintain relationships with vendors and suppliers
· Request competitive quotes and evaluate cost-saving opportunities
· Research alternative materials or processes when appropriate
Operations Coordination
· Serve as a communication link between ownership and department managers
· Collect production, labor, and scheduling data to support quoting and planning
· Help track job progress and ensure alignment between sales and production
Client & Vendor Communication
· Communicate with customers regarding quotes, timelines, and order details
· Coordinate with vendors on purchasing, availability, and delivery schedules
· Ensure clear, professional, and timely communication across all parties
Shipping & Receiving
· Assist with or oversee incoming materials and outgoing shipments
· Verify order accuracy and coordinate logistics
· Maintain proper documentation for shipments and inventory tracking
Administrative & HR Support
· Support onboarding coordination and employee documentation
· Assist with HR-related administrative tasks as needed
· Help maintain organized records across HR and operational systems
Executive Support to Ownership
· Help organize and prioritize daily and weekly tasks for ownership
· Track outstanding items such as quotes, bids, and follow-ups
· Provide structure and accountability to improve execution and throughput
Required Qualifications
· Minimum 5 years of experience in a manufacturing, fabrication, or industrial environment
· Experience with quoting, estimating, and purchasing
· Working knowledge of accounting principles or job costing
· Experience using CRM systems (Microsoft Dynamics preferred)
· Strong organizational and time management skills
· Ability to manage multiple priorities with minimal supervision
· Excellent communication and problem-solving abilities
Preferred Qualifications
· Experience in metal fabrication or custom manufacturing
· Familiarity with shop operations, materials, and production workflows
· Background in accounting, bookkeeping, or cost analysis
· Experience supporting ownership or senior leadership
