Sigman Veterinary Clinic has been a trusted small animal practice serving Newton County and its surrounding areas for over 30 years. Our commitment to providing exceptional veterinary care is at the heart of our mission. We have 2 full time doctors and an LVT along with a great team of support staff! We have exciting plans to expand our practice in the near future. We are planning to build a new, state of the art 4,000 square foot veterinary facility!
Sigman Veterinary Clinic is seeking a reliable, friendly, and mature receptionist for a full time position. This position could transition to an office coordinator for the right candidate. The ideal candidate is motivated with a strong work ethic and has the ability to multitask in a fast-paced environment with proficient client communication skills. Accuracy and attention to detail is critical. Prior veterinary receptionist experience or experience working in a veterinary clinic is required. Prior experience with accounting and/or veterinary management is ideal. We cannot stress enough that reliability and dependability is a MUST!
Other duties include, but are not limited to, the following:
RECEPTIONIST:
- Oversee client flow to ensure that clients and patients are seen and treated in a professional, timely and competent manner.
- Manage multiple phone lines, direct and screen calls, and relay messages.
- Schedule appointments for all clinic services following clinic protocol.
- Provide accurate information to callers without providing medical advice.
- Oversee call back system including overdue reminder calls.
- Promptly address all client concerns and remain polite and professional when interacting with clients over the phone, in person, and via email.
- Greet and interact with clients and pets in a friendly and welcoming manner.
- Utilize the computer system and veterinary software program (Intravet).
- Experience processing Care Credit payments is ideal.
- Maintain proper documentation with client/pet records.
- Process prescription requests per veterinarian instructions.
- Sort and process the daily mail.
- Maintain hospital cleanliness in common areas of the office.
- Ability to maintain a positive attitude and cooperative working relationships with fellow staff members.
- Familiarity with veterinary/medical terms and flea/tick/heartworm preventatives is ideal.
- Basic knowledge of vaccines and common veterinary procedures is ideal.
MANAGERIAL (If qualified)
- Oversee the maintenance/housekeeping of the hospital for orderliness and cleanliness of both the inside and outside of the building.
- Maintain a positive attitude and cooperative working relationships with fellow staff members.
- Manage and train other receptionists.
- Responsible for administration and review of non-medical client complaints.
- Ensure that the OSHA and Safety program and procedures are being continuously monitored, updated and reported so the hospitals are in safety compliance.
ACCOUNTING
- Ensure all client transactions are collected accurately and completely
- Process Care Credit payments
- Prepare packets of daily financial information for the practice owner
If Qualified:
- Financial management: accounts payable/receivable, end of month/year reports
- Oversee collections and returned checks
- Verify receipt of all supplies, mark invoices and packing slips received and provide to owner.
- Enter inventory into the software system.
- Oversee petty cash
Requirements:
- 1 years’ experience as a veterinary receptionist or in veterinary management.
- Effective interpersonal, communication, and organizational skills
- Ability to multi-task, meet deadlines, and prioritize workloads
- Familiarity with veterinary/medical terms, vaccinations, common veterinary procedures and flea/tick/heartworm preventatives are ideal.
Salary is dependent on experience and if managerial duties will be performed. This is a full-time position working 4.5 days per week including every other Saturday and averaging 40 hours per week.
