Job Description:
PATIENT POPULATION:
The patient population served can be all patients, including geriatric, adult, adolescent, pediatric, and newborn. This also includes services which affect facility staff, physicians, visitors, vendors, and the general public.
POSITION SUMMARY:
Under the direction/supervision of the Unit Director, Clinical Manager and Charge Nurse, the Scheduler/Secretary provides essential administrative and scheduling support within the Cardiac Catheterization Lab. This role involves managing patient appointments, coordinating procedures, maintaining accurate records, and ensuring the efficient flow of operations within the department, patient preparation and discharge, supply chain management, unit specific reports and other duties as assigned.
Must be able to work normal/scheduled working hours to include Holidays, call-backs, weeknights, weekends, and on-call. Agrees to participate, as directed, in emergencies and community disasters during scheduled and unscheduled hours. As a designated disaster service worker you are required to assist in times of need pursuant to the California Emergency Services Act. (Gov’t. Code §§ 3100, 3102)

EDUCATION/TRAINING/EXPERIENCE:

Strongly prefer individual to have previous experience in an administrative or clerical area within a healthcare setting, ideally in a procedural specialty department. Experience with medical terminology and healthcare scheduling software, MediTech knowledge preferred. High school diploma or equivalent preferred. An individual should have the knowledge and skills typically acquired through a high school education or equivalent experience.
Strong organizational, multitasking, and time management skills.
Excellent communication skills, both written and verbal.
Ability to maintain confidentiality and adhere to HIPAA guidelines.
Must have computer knowledge with Meditech preferred.
LICENSURE/CERTIFICATIONS:
Must have and maintain current BLS certification or obtain within orientation process, prior to hands-on patient care. Current Certified Nursing Assistant (C.N.A.) license in California is preferred.
Responsibilities and Essential Functions:
Indicates Essential Function
1 * Schedules all Cardiac Cath Lab, Echocardiology and Invasive Radiology procedures
a. Answers the telephone in a prompt, courteous manner.
b. Accurately inputs all patient and physician information.
c. Schedules with an awareness of staff, time or equipment conflicts.
d. Alerts Director, Clinical Manager, Charge Nurse or Lead Surgical Tech and/or Coordinators in OR, Flex Care and PACU about potential schedule problems, as well as any other significant information which impacts the efficient working of the department.
e. Communicates with ancillary departments, i.e. Pathology, Radiology, and Laboratory regarding anticipated needs for their services.
f. Closes cases within 3 business days for charge purposes.
2 * Assists clinical team with patient care
a. Print or obtain labels and armbands and collect necessary paperwork.
b. Escort patients from lobby or radiology waiting room to the Cath Lab and assist with changing into hospital attire and securing belongings.
c. Sanitize and set up patient bay after discharge.
d. Assist patients to restroom at the direction of the RN.
e. Transport patients to/from Cath Lab, IR, CT, MRI at the direction of the RN.
f. Transport patients to their mode of transportation upon discharge at the direction of the RN.
g. Communicate with family members for delays and end of procedure discussion with physicians.
3 * Supply chain management
a. Collaborates with Materials Management and Tech to set par levels, place orders for stock and non-stock items.
b. Stocks items delivered using FIRST EXPIRED, FIRST OUT (FEFO) methodology.
c. Assures all outdate supplies are removed from inventory, accounted for with Materials Management and properly disposed of, monthly.
d. Communicates with vendors related to scheduling and billing.
4 * Serves as a Liaison with Health Information Management, Information Technology, and outside computer agencies for questions, issues, implementation and operations.
a. Works independently in serving as a primary resource for problem solving Meditech scheduling issues.
b. Fulfills requests for service reports or information generated by other hospital departments, nursing administration, and physicians. Maintains nursing passwords-adds new users, changes user access as needed and informs Information Services of the changes.
c. Information Technology is informed/consulted about changes in the system, as necessary.
d. Represents the hospital in a positive, professional manner.
5 * Conforms to patient confidentiality.
a. Maintains confidentiality of all department business.
b. Does not discuss patient information outside of appropriate channels of communication.
6 Performs other duties as required.
a. Accepts/develops special assignments as needed by department. Completes these assignments in a cooperative, timely manner.
b. Seeks other work if current on listed responsibilities.
c. Maintains established departmental policies, procedures, objectives, safety, quality improvement program and environmental standards.
7 * Be in attendance on site and arrive to work on time.
