Job Summary
The Executive Assistant provides high-level administrative and operational support to the Company Founder, ensuring day-to-day activities run smoothly and efficiently. This role requires exceptional organizational skills, discretion, flexibility, and a proactive mindset. The ideal candidate is highly dependable, detail-oriented, and comfortable supporting both professional and personal tasks, including coordinating schedules, running errands, and assisting with team needs.
Key Responsibilities
- Provide direct administrative support to the Company Founder, including complex calendar management, scheduling meetings, calls, and appointments
- Coordinate and prepare materials for meetings, conference calls, and presentations
- Act as a gatekeeper for the Founder’s schedule, prioritizing requests and managing time effectively
- Arrange travel, accommodations, and itineraries as needed
- Run business-related errands, including picking up supplies, documents, and other necessary items
- Order meals, coordinate catering, and support team events or meetings
- Serve as a point of contact between the Founder and internal teams, clients, and external partners
- Manage correspondence, emails, and phone calls with professionalism and discretion
- Assist with special projects, research, and ad hoc requests as assigned
- Maintain confidentiality when handling sensitive information
- Support office operations as needed, including coordination with vendors and service providers
Required Qualifications
- 3 years of experience as an Executive Assistant, Administrative Assistant, or similar support role
- Bachelor’s degree or equivalent professional experience
- Proven experience supporting senior leadership or a company founder
- Strong calendar management and scheduling expertise
- Excellent organizational, time management, and multitasking skills
- Exceptional written and verbal communication skills
- High level of professionalism, discretion, and trustworthiness
- Willingness and ability to run errands and support hands-on operational needs
