What are the responsibilities and job description for the Admissions Coordinator position at Sierra Meadows Behavioral Health?
The Most Important Call Someone Makes Today Could Be to You
We believe the Central Valley deserves access to premier mental health care — and we've spent years building it.
We operate multiple programs and facilities across the Central Valley and beyond, serving individuals and families through PHP, IOP, residential, substance use, eating disorder, dual diagnosis, and adolescent treatment programs. We launched services that didn't exist in this region before we built them.
None of it happens without the person who answers the phone.
That's this role.
What This Role Actually Is
This isn't a scheduling job or a form-processing job.
When someone reaches out to us, they are often in one of the hardest moments of their life. They're scared. They don't know if help is possible, affordable, or real. They may have never asked for help before.
You are the reason they find out it is.
Our Admissions Coordinators are part guide, part advocate, part problem-solver. You move with urgency and purpose. You hold space for someone's most vulnerable moment while simultaneously navigating insurance, coordinating with clinical teams, and keeping the process moving forward. You help people get from the phone call to the front door — and that journey changes lives.
This role requires patience, persistence, and the ability to connect with people who are guarded, overwhelmed, or unsure. The right person knows how to meet someone where they are, build trust quickly, and help them take a step they may have been putting off for years.
What You'll Do
- Answer calls, chats, and inquiries from individuals, families, and referral partners — often during their most vulnerable moments
- Build rapport quickly and guide people through the admissions process with empathy, clarity, and confidence
- Conduct pre-admission screenings and gather the clinical and financial information needed
- Verify insurance benefits and explain financial options in a way that removes barriers rather than creating them
- Coordinate intake assessments and facilitate smooth transitions into care
- Maintain accurate records in our admissions and CRM systems
- Collaborate with clinical and operational teams to remove obstacles and keep care moving
- Serve as a consistent, trusted resource for referral partners and families throughout the process
Who Thrives in This Role
The strongest people in this role share a few things in common. They connect naturally with others — people open up to them quickly, even in a first conversation. They stay steady and clear-headed when situations feel urgent or emotional. And in this work, that happens often.
They also don't give up easily. When someone is resistant, uncertain, or scared, they don't back down — they lean in with more compassion, more patience, and more resourcefulness. They understand that helping someone say yes to treatment today instead of waiting another year is one of the most meaningful things a person can do in their career.
You might be exactly who we're looking for if:
- People naturally open up to you, even when they've just met you
- You stay calm and grounded when conversations get heavy or emotional
- You're persistent — you follow up, you follow through, and you don't let things fall through the cracks
- You can hold someone's pain without losing your ability to continue the process
- You're organized enough to manage the details while keeping your focus on the person
- You bring steadiness, warmth, and a little humor into hard days
- You believe mental health care should be accessible, compassionate, and excellent
This role moves fast and carries real weight. The right person finds that meaningful, not draining.
Qualifications
- High school diploma or equivalent required; bachelor's degree in a behavioral health-related field preferred
- Experience in behavioral health admissions, treatment center intake, or a clinical setting strongly preferred
- Background in a role that required you to guide, persuade, or advocate on behalf of others
- Strong phone presence and communication skills — you're comfortable on calls, not just behind a screen
- Familiarity with insurance verification and benefits explanation a plus
- Able to work in a fast-paced, high-volume environment without losing attention to the person in front of you
- Bilingual in English and Spanish a significant plus
