Responsibilities:

Always receive anyone visiting the company with a courteous and friendly attitude, greeting them kindly, whether in person or over the phone.

Log all individuals arriving at reception—contractors, job candidates, employees, and the general public—in the designated visitor logs.

Request a photo ID from all visitors before allowing access beyond the reception area, provide a visitor vest, and contact the host to come to reception to receive their guest.

Keep visitors’ IDs in safekeeping while they are on the premises. Upon leaving, visitors must return their vest, sign out in the appropriate logbook, and retrieve their ID.

Answer incoming phone calls to the company, greet the caller politely, place the call on hold, and confirm with the intended recipient whether they are available before transferring the call.

Take messages from callers if the intended recipient is unavailable or not present at the company.

Maintain control of external personnel access through the reception area.

Ensure that no external visitors go beyond reception unless accompanied by their host or a security guard.

Assist in distributing application forms to walk-in job applicants.

Receive deliveries from external mail services, log them appropriately, and notify the recipient via phone and/or email so they can collect their package and sign the logbook upon receipt.

Responsible for keeping the Main Meeting Room, located next to Reception, clean and organized.

Manage the availability of the Meeting Room using the Outlook scheduling tool.

Immediately and formally report to your Supervisor any breach of access rules by visitors or their hosts within the company.
Education and Knowledge:

Completed High School or Secondary Education.

Minimum of 2 years of experience in a similar position.

Ability to prepare reports and submit them to the Supervisor accurately and on time.

Basic knowledge and experience to support recruitment activities.

Experience working with staff at all levels of the organization.

Experience in preparing reports and presentations for Management.
