The Role in a Nutshell
We’re looking for an Office Manager who loves keeping things organized, accurate, and running like a well-oiled machine. You’ll be the friendly first face customers see, the calm voice on the phone, and the go-to person who keeps our money moving in the right direction.

QuickBooks experience is a must. ERP experience is a big plus!
What You’ll Be Doing (aka your daily wins)
Accounting & Money Flow
- Run Accounts Receivable like a pro: send invoices, post payments, keep aging clean, and follow up when needed.
- Manage Accounts Payable: enter bills, track due dates, and prep payments with accuracy.
- Handle reconciliations (bank, credit cards, AR/AP) to keep everything balanced and tidy.
- Make daily deposits and ensure every dollar lands where it should.
- Keep our books sharp in QuickBooks and help support month-end close.
- Pull simple reports for leadership (AR aging, AP status, deposits, etc.).
Front Desk & Customer Support
- Answer and direct calls with a helpful, can-do attitude.
- Greet customers, vendors, and visitors — you’re the welcome committee!
- Take payments in person and over the phone, post them correctly, and provide receipts.
- Support customer service and sales with account/order questions when needed.
Office Coordination & Admin Support
- Keep files organized and easy to find (because chaos is not the vibe).
- Manage mail, deliveries, and supplies so the office stays stocked and ready.
- Help leadership team members with admin tasks as needed.
- Jump in to back up office duties during busy stretches or vacations.
What We’re Looking For
Must-Haves
- QuickBooks experience (required) confident with invoicing, AP, payment posting, and reporting.
- 2 years in office management, accounting/admin, or similar role (manufacturing experience is a plus).
- Solid AR/AP understanding, deposits, and reconciliations.
- Strong attention to detail — you catch what others miss.
- Friendly, professional communication style (on the phone and face-to-face).
- Comfortable with Microsoft Office (Excel, Outlook, Word).
Bonus Points For
- ERP system experience (highly preferred).
- Experience in a manufacturing office with POs, work orders, or inventory-related paperwork.
- Light payroll or HR admin experience.
